AutoSPAM

User Guide – with interactive demo at the end

AutoSPAM is an intelligent, server-side email management system — not a basic spam filter. Powered by AI, 31-language content analysis, and permanent cross-device learning, it protects your inbox while organizing your email automatically.

🧠 What AutoSPAM Actually Is

AutoSPAM goes far beyond traditional spam filtering. It’s a complete server-side email management system that combines multiple layers of intelligent protection:

AI & Machine Learning External AI evaluation + internal ML that improves from your patterns over time
31-Language Text Analysis Content analysis detecting scam phrases, urgency tricks, and phishing in any language
Permanent Cross-Device Learning Rules stored server-side at BOTS4.me — survive any client or provider change
_AutoSPAM/QUEUED Pre-Processing Optional, Family plan and up: emails are checked before they reach your inbox, so only clean mail appears
VIP Routing & Custom Folders Priority inbox for key contacts + up to 3 custom sorting categories
Mass Attack Protection Battle-tested against mass spam attacks

System Learns Forever
& Auto-Sorts Future Emails

AI filters automatically handle obvious spam and threats – you only review uncertain cases!

🤖 Automatic Protection: Obviously suspicious emails (based on AI content analysis, sender patterns, and unusual frequency) are automatically moved to _TRASH/SPAM, the same folder as emails from senders on your spam list — no user action needed. The Logs tab shows why each email was moved. Check this folder periodically for real emails wrongly moved here and move any legitimate emails to _AutoSPAM/ALLOW to rescue them. While AutoSPAM is still learning a new mailbox (its first two weeks), and for emails that look like orders or invoices, a new sender’s email is never moved to _TRASH — it is kept for your review.

🚀 Getting Started — 5 Minute Setup

  1. Go to BOTS4.me/bots → Settings → AutoSPAM
  2. Connect your email — Secure Quick Connect (OAuth) for Gmail and Outlook / Microsoft 365, or IMAP with an app password for Yahoo and other providers
  3. AutoSPAM creates all folders automatically in your chosen language (31 languages supported)
  4. Control and monitor everything via dashboard at /bots
  5. Start teaching — move emails to _AutoSPAM/ALLOW, _AutoSPAM/REFUSE or _AutoSPAM/SPAM, or click a button under a message in _AutoSPAM/LOGS. One action = learned forever.
  6. New accounts start in Demo Mode: you get a report of what AutoSPAM would do; switch Mode from DEMO to LIVE on the Control tab when ready.

🎭 In Demo, AutoSPAM sorts nothing in your mailbox — but you can already teach it with the teaching folders; what you teach is kept. The LOGS buttons start once AutoSPAM is LIVE.

💡 Free plan (a small monthly allowance, no time limit) is always available — manual controls plus blocking of executables, disk images and scripts. Paid plans unlock progressively richer protection: Personal adds AI sorting, fake-sender protection, learn-from-sent, logs in your mailbox & common-archive and macro blockers; Family adds pre-filter queue, frequency filter, custom folders, monthly list export (shared learning across accounts), supplier separation & uncommon-archive and web-content blockers; Business adds smart text analysis, auto-cleanup, sent-mail clean-up & blocking by single address (SPAM by Email); Enterprise adds SLA / dedicated server / dedicated support on request. Your first month is a free Discovery month: the Personal allowance plus many Family and Business features to try. Without a paid plan, AutoSPAM then continues on the free plan with a small monthly allowance.

🎓 Two ways to teach AutoSPAM
  1. Move emails into a teaching folder — best for many emails at once (select several, move them together).
  2. Click a button under a message in _AutoSPAM/LOGS — best for a single email.

Both teach AutoSPAM exactly the same. The LOGS buttons start once AutoSPAM is LIVE. On the free plan there is no LOGS folder, so you teach by moving emails. Full guide: Logs in your mailbox

🆓 Free vs Paid — what changes when you downgrade

AutoSPAM has two SPAM lists working together: a manual list (entries you flagged yourself) and an AI-learned list (entries the system learned automatically from frequency analysis, junk-folder bootstrap, and AI override).

  • Paid plan: both lists are active and combined. AI keeps adding new spammers automatically. Your active lists hold 1,000 SPAM / 1,000 ALLOW / 100 VIP / 100 supplier entries at Personal, and more on every tier above, and paid clients are processed first on every pass.
  • Free plan: only your manual list is active. The AI-learned list is paused, not deleted. New spammers must be flagged by hand. The 100 most recently used SPAM entries and 100 ALLOW entries stay active (25 VIP, 25 suppliers), and AutoSPAM works with a small monthly allowance — when it is used, new mail waits until next month or until you upgrade. Paid clients are served before free ones on every processing pass.
  • Re-subscribing: the moment you re-activate paid, the AI-learned list resumes immediately — nothing is lost.

Free-tier daily message: once per 24h you’ll see a status entry like “Your AI-learned list (1,247 senders) is paused. Your manual entries (43 senders) remain active. Reactivate anytime to restore full protection.”

Support: best effort on the free plan, email support on Personal and Family, priority support on Business, VIP support on Enterprise (SLA or a dedicated contact on request).

🔑 Key Benefits

  • Two-layer protection – Smart filtering that learns from you
  • Work without interruption – Unknown senders wait in _AutoSPAM/REFUSED (when enabled) or arrive in INBOX
  • Never lose important emails – VIPs and allowed senders always reach you
  • One action = Forever – Move once, system remembers permanently
  • Self-cleaning – With Automatic Clean-up switched on (Business plan and up, off by default), old emails are deleted after 30 days (or when a folder holds more than 1000 emails) from _TRASH and its sub-folders (all created by us), your mailbox’s native Junk and native Trash. Emails left in _AutoSPAM/REFUSED are removed after 180 days. Deletion is paced according to your plan (a limited number of emails per day).
  • Processes on your Run Schedule — up to Highest priority on Business and Enterprise, around the clock by default (00:00–23:59, weekends included); you can narrow the operating hours on the Control tab
  • Intelligent business processing – Knows customers from suppliers
  • AI auto-flags suspicious emails – Flagged emails go to _TRASH/SPAM, together with blocked senders (check periodically for real emails wrongly moved here) While AutoSPAM is still learning a new mailbox (its first two weeks), and for emails that look like orders or invoices, a new sender’s email is never moved to _TRASH — it is kept for your review.

🤖 Intelligent Automation Features

AutoSPAM uses advanced AI to automatically handle most spam, so you only review uncertain cases.

📊 Frequency-Based Spam Protection

  • Protects against mass spam campaigns
  • Automatically blocks unknown senders who email too often. Known senders get much higher, dynamically calculated thresholds, so only a rapid attack triggers the protection for them.
  • Real-life story: one of our clients was hit by 1,500,000 emails in 15 minutes. AutoSPAM protected the mailbox and kept Mail2ERP processing orders without delay; with the automatic clean-up function, all spam emails were then removed from the account.

🧠 AI-Powered Sender Evaluation

  • Analyzes new unknown senders automatically
  • Only uncertain cases go to _AutoSPAM/REFUSED folder (optional — can be disabled in settings)
  • Most spam is handled without your intervention

🚨 Automatic Suspicious Email Flagging

  • AI analyzes email content, sender reputation, and behavioral patterns
  • Flagged emails are automatically moved to _TRASH/SPAM — the Logs tab says why each one was moved
  • While AutoSPAM is still learning a new mailbox (its first two weeks), and for emails that look like orders or invoices, a new sender’s email is never moved to _TRASH — it is kept for your review.
  • No user action needed — works silently in the background
  • Check _TRASH/SPAM regularly for real emails wrongly moved here
  • Move those legitimate emails to _AutoSPAM/ALLOW to rescue them forever
Note: Most automation features can be toggled on/off at BOTS4.me/bots dashboard. A few core protections run always on every paid plan and have no switch. You can also set AI to Off on the Control tab; the rule-based checks keep working.

🛡️ Attachment Security

AutoSPAM can automatically block emails containing dangerous attachment types. Blocked emails are moved to _TRASH/SPAM, keeping the read or unread state they already had — AutoSPAM never re-flags your mail — so a freshly arrived one is still unread when you review it there. Tracked as spam_attachment in statistics.

Filter Blocked Extensions Default
🚫 block_executables .exe, .dll, .bat, .cmd, .com, .msi, .msp, .scr, .pif, .cpl, .hta, .inf, .reg, .rgs, .lnk, .scf, .url, .gadget, .application, .appref-ms, .settingcontent-ms, .diagcab, .chm, .hlp Always on
📦 block_common_archives .zip, .rar, .7z OFF
🗜️ block_uncommon_archives .tar, .gz, .bz2, .xz, .cab OFF
💿 block_disk_images .iso, .img, .vhd, .vhdx, .vdi, .vmdk, .wim Always on
📄 block_macros .xlsm, .docm, .pptm, .xlam, .xla, .xll, .dotm, .potm, .ppam, .ppa, .sldm, .ade, .adp, .accde ON
⚙️ block_scripts .ps1, .psc1, .vbs, .vbe, .js, .jse, .ws, .wsf, .wsc, .wsh, .py, .rb, .sh, .pl, .php, .asp, .aspx, .jsp, .cgi, .jar, .jnlp Always on
🌐 block_web_content .html, .htm, .mht, .mhtml, .svg OFF
How it works: When an email contains an attachment matching a blocked extension, the entire email is moved to _TRASH/SPAM. It is only moved, never re-flagged: it keeps whatever read or unread state it had, so a mail that has just arrived is still unread. This is the same folder as all other spam AutoSPAM blocks; the Logs tab shows the reason (dangerous attachment). Check this folder regularly to recover any real emails wrongly moved here by moving them to _AutoSPAM/ALLOW.
Note: Four of the seven filters can be toggled on/off individually at BOTS4.me/bots → Control → AutoSPAM → AutoSPAM Features. The three marked Always on are core protection and cannot be switched off.

📬 _LAST-20 — the last emails you received

Like Gmail’s All Mail, for every mailbox: once you switch it on, the folder _LAST-20 holds copies of the last 20 emails you received (50 on Business and Enterprise plans), wherever AutoSPAM or our other apps filed them. When you wait for a verification code or wonder whether an email arrived, look there first.

  • Always up to date: new emails appear within about five minutes, also outside your working hours. The oldest copies drop out automatically.
  • Safe: emails with a forged sender or a dangerous attachment are never copied, and senders you blocked yourself stay out.
  • Use the copy freely: move it to _AutoSPAM/ALLOW, into your INBOX or any folder, and the original is tidied away into _TRASH (kept 30 days). Deleting a copy never touches the original.
  • Your language: the folder name follows your app language (for example _POSLEDNYCH-20 in Slovak).
  • Control: included in every paid plan, off by default. Switch it on at /bots → General Dashboard → Security → Last emails folder; switching it off removes the copies.
  • Gmail: not needed and not created — Gmail’s All Mail already shows every email.

📁 The Control Folders – How to Teach AutoSPAM

Move emails to these _AutoSPAM folders to teach the system – it remembers forever! For a single email you can also click the matching button under its message in _AutoSPAM/LOGS — both teach AutoSPAM exactly the same.

✅ _AutoSPAM/ALLOW
Move email here to approve sender & reset its AutoSPAM decisions (spam, VIP, supplier and custom lists). Their future emails will always reach your inbox. Supplier2ERP also stops importing the sender (drag one of its emails into _Supplier2ERP/IMPORT to resume); Pay2ERP bank choices change only through the _Pay2ERP/IMPORT and DO_NOT_IMPORT folders.
🚫 _AutoSPAM/REFUSE (when _AutoSPAM/REFUSED folder is enabled)
Move email here to refuse sender. Their future emails go to _AutoSPAM/REFUSED for review. This folder is only available when the _AutoSPAM/REFUSED Folder feature is enabled.
⭐ _AutoSPAM/VIP
Move email here to mark as VIP (if enabled). Their emails get priority in _VIP.
⛔ _AutoSPAM/SPAM
Move email here to block the sender’s whole domain forever (for free-mail addresses such as gmail.com, and for your own domain, only that address). Their emails go straight to _TRASH/SPAM.

🌍 31 Languages Supported

AutoSPAM works in 31 languages! Folder names, onboarding emails, and spam content analysis all work in your chosen language.

Supported: English, Arabic, Chinese (Simplified), Czech, Danish, Dutch, Finnish, French, German, Greek, Hebrew, Hindi, Hungarian, Indonesian, Italian, Japanese, Korean, Malay, Norwegian, Polish, Portuguese, Romanian, Russian, Slovak, Spanish, Swedish, Filipino, Thai, Turkish, Ukrainian, Vietnamese.

Configure at Settings → Billing Information → App Language on the BOTS4.me/bots dashboard. Language can be changed once per day. Onboarding instruction emails are also sent in your selected language.

🎯 Simple Actions – How to Control It

To ALLOW someone:
  1. Find email in _AutoSPAM/REFUSED (or INBOX if _AutoSPAM/REFUSED folder is disabled)
  2. Move to _AutoSPAM/ALLOW
  3. Future emails stay in INBOX
To REFUSE someone:
  1. Move email to _AutoSPAM/REFUSE
  2. Future emails stay in _AutoSPAM/REFUSED (when enabled)
To BLOCK as SPAM:
  1. Move email to _AutoSPAM/SPAM
  2. Future emails will go to _TRASH/SPAM
To mark as VIP:
  1. Move email to _AutoSPAM/VIP
  2. Future emails will go to _VIP
To remove VIP or any previous label:
  1. Move email to _AutoSPAM/ALLOW
  2. Sender is reset — all previous decisions cleared
  3. Future emails will go to regular INBOX
To mark SUPPLIER (with Mail2ERP, Supplier2ERP or Separate Suppliers):
  1. Find supplier’s email
  2. Move to _AutoSPAM/SUPPLIER
  3. Their emails won’t be processed as customer orders

💼 Your Daily Workflow – Stay Focused!

During Work Hours:

  • Focus on your clean INBOX
  • Important emails are there, spam is gone
  • No distractions from unknown senders

When You Have Time (1-2x daily):

  • Check _AutoSPAM/REFUSED (when enabled)
Recognize someone? → Move to _AutoSPAM/ALLOW
    Don’t want them? → Move to _AutoSPAM/SPAM
  • Occasionally check _TRASH/SPAM
Everything AutoSPAM blocks lands here: senders on your spam list and emails the AI flagged based on content analysis, sender patterns, and unusual frequency. The Logs tab says why each email was moved. Found a legitimate email? → Move to _AutoSPAM/ALLOW to approve the sender forever.
  • Using Mail2ERP
Mark supplier emails? → Move to _AutoSPAM/SUPPLIER so they won’t be processed as orders

📅 Your Training Journey

Week 1 — Training Mode

When the _AutoSPAM/REFUSED folder is enabled, spend 10-15 minutes daily sorting it. Move emails to _AutoSPAM/ALLOW (legitimate senders), _AutoSPAM/SPAM (unwanted), or _AutoSPAM/VIP (important contacts, once VIP List is switched on) — or click the matching button in _AutoSPAM/LOGS for a single email. The more you teach, the smarter AutoSPAM gets. If _AutoSPAM/REFUSED is disabled, manage new senders directly from your INBOX.

Week 2+ — Maintenance Mode

Check _AutoSPAM/REFUSED once daily (~5 min) if enabled. Check _TRASH/SPAM weekly for real emails wrongly moved here. Most sorting now happens automatically. You’re done training — AutoSPAM handles the rest.

📊 Plan Tiers & Processing: Each higher plan comes with a larger monthly usage allowance. Need more in a given period? Extra usage packs are available and roll over until used (active subscription required). Family adds the frequency filter and shared learning across accounts via Monthly Lists Export; Business adds smart text analysis & auto-cleanup; Enterprise adds SLA / dedicated server / dedicated support on request. See the pricing widget for current estimates.

📊 Understanding Your Logs

Access your logs at /bots → Logs → Category: AutoSPAM.

  • What each entry shows: Timestamp, sender email/domain, action taken, destination folder
  • Filter by level: Success (processed normally), Info (detected/classified), Warning (duplicate skipped), Error (connection issue)
  • Filter by category: one button per app (for example AutoSPAM or Mail2ERP)
  • Common messages: “Email from … moved to Spam — sender is on the block list”, “Email from unknown sender … moved to review”, “Sender … learned as … — you moved a mail into the … folder”, “Cleanup: removed … old emails”
  • On errors: Check email credentials at Settings → AutoSPAM, verify permissions, or contact support@bots4.me

📬 Logs in Your Mailbox

  • Where: every mailbox gets a LOGS folder inside the bot’s own folder, for example _Mail2ERP/LOGS. Each bot keeps its own.
  • What: the same rows as the Logs tab, one message per row. Nothing is sent by email — the rows are written straight into the folder.
  • Unread means it needs you: only rows that need your decision arrive unread. All other rows, warnings included, arrive already read.
  • One-click buttons: rows about an email carry the same buttons as the dashboard. A button that files the email is named after the folder it goes to, for example ALLOW or SPAM. A button opens a short confirm page, no login needed, and works for 7 days. The result arrives as a new row, with an undo button where one exists.
  • Decide from the log: a row that needs your decision also shows the names of the email’s attachments and its first few lines, so you rarely need to open the email itself.
  • Housekeeping: the folder keeps the latest 100 rows for up to 30 days. The full log stays in your dashboard.
  • Safe by design: genuine log messages exist only inside LOGS folders, never in your inbox, and the confirm page never asks for a password.
  • Switch: Logs in your mailbox, in the bot’s feature list on the Control tab. On by default from the Personal plan.

🔧 Advanced Features Explained

Most of these can be toggled on/off individually at /bots → Control → AutoSPAM. The System Email Filter and Duplicate Detection run always on every paid plan and have no switch. You can also set AI to Off on the Control tab; the rule-based checks keep working.

📥 Inbox Pre-Processing (_AutoSPAM/QUEUED)
Pre-processing (Family plan and up, off by default): new emails first land in _AutoSPAM/QUEUED, are checked there, and only clean emails reach your inbox. Mail2ERP, Supplier2ERP and Pay2ERP can read their emails straight from this folder. If AutoSPAM is switched off, paused or in Demo Mode, queued emails go back to your inbox.
📂 Learn from Junk
AutoSPAM reads your Junk/Spam folder daily: it learns the senders as spam and moves those emails to _TRASH/SPAM, and it moves emails from senders you know back to your inbox. On by default.
📤 Learn from Sent
AutoSPAM reads your Sent folder and automatically adds recipients of your outgoing emails to the Allowed list. This ensures that people you email will never be blocked. Runs automatically several times a day.
📋 System Email Filter
Automatically filters read receipts, delivery notifications, and automated system emails to keep your inbox clean. Filtered emails go to _TRASH.
🔁 Duplicate Detection
Removes duplicate emails found across your folders. Duplicates are moved to _TRASH/DUPLICATES automatically.
🌍 Smart Text Analysis
Multi-language content analysis across all 31 supported languages. Detects urgency manipulation (“act now!”, “limited time”), scam phrases (lottery, cryptocurrency schemes), and phishing attempts (fake account verification, password reset). Each category is scored independently to avoid blocking real emails by mistake. It also recognizes hospitals, courts, authorities and emergency services, so their messages are reviewed instead of treated as spam.
✉️ SPAM by Email (Block by Address)
Block a specific email address (e.g., spammer@example.com) instead of blocking the entire domain. Use the _AutoSPAM/SPAM_EMAIL folder. Useful when only one address from a domain is problematic. Not needed for free-mail senders: SPAM already blocks only their address.
🤝 Monthly Lists Export & Sharing
Once enabled, AutoSPAM sends you a monthly email with all your learned lists (ALLOWED, SPAM, VIP, custom lists). You can edit them and send them back to autospam@bots4.me, and you can share them with family, friends or colleagues so they import them into their own account. Import rules: the mail must come from the account’s own e-mail address (anything else is ignored), the list files must arrive inside the ZIP protected with your Lists password or the generated password shown in Control — plain .txt attachments and unencrypted ZIPs are refused. SPAM, ALLOWED, SPAM_FREE, ALLOWED_FREE, VIP, SUPPLIERS and your own custom lists can be imported. Entries are added and de-duplicated — an import never removes anything. Imports run at most once a day on the Family plan and higher; you get a report back by e-mail and the message is deleted after processing. Teach once, share forever.
📁 Custom Folders
Create up to 3 custom sorting categories (e.g., FAMILY, CUSTOMER, PROJECTS). Names must be alphanumeric + underscore. Configure them in the Custom folders field at /bots → Control → AutoSPAM. Changes apply once every 8 hours. Creates both a learning folder (_AutoSPAM/{CUSTOM_NAME}) and a destination folder (_{CUSTOM_NAME}).
WITH MAIL2ERP

🚀 Special Features with Mail2ERP

📧 Mail2ERP Email Processing Behavior

✅

When you _AutoSPAM/ALLOW:

Email goes back for processing!

  • → Email goes back into your INBOX, or into _AutoSPAM/QUEUED when an ERP app reads the queue
  • → Mail2ERP processes it normally
  • → Goes to _Mail2ERP/PROCESSED, or stays in your INBOX for review
  • → Customer order/RFQ imported to ERP
🚫

When you _AutoSPAM/SPAM:

Email goes straight to _TRASH/SPAM!

  • → Email moves to _TRASH/SPAM
  • → NOT processed by Mail2ERP
  • → Sender blocked forever
  • → Future emails auto-trashed
Important: With Mail2ERP, when you move an email to _AutoSPAM/ALLOW, it doesn’t just whitelist the sender – it sends the email back for processing — into your INBOX, or into _AutoSPAM/QUEUED when an ERP app reads the queue — so customer orders are never lost.

🎯 Automatic Customer Recognition

  • Auto-recognizes ALL contacts from your ERP system
  • No need to teach about existing customers – they’re pre-approved!
  • Instantly knows who to process

🏭 Supplier Control

  • Use the _AutoSPAM/SUPPLIER folder to mark suppliers
  • Supplier emails won’t be processed as customer orders
  • Optional “Separate Suppliers” setting collects supplier emails into a dedicated _SUPPLIER folder (with Supplier2ERP: suppliers it does not import go to _Supplier2ERP/MANUAL), keeping your inbox focused
  • Use _AutoSPAM/ALLOW to remove the supplier label and reset the sender (Supplier2ERP then stops importing it too)
  • Prevents confusion between supplier invoices and customer orders

💼 Smart Internal Email Handling

  • Colleague emails are NOT processed by Mail2ERP normally
  • BUT if a colleague forwards a customer RFQ/order with actionable data Mail2ERP processes it as if the customer sent it directly!
  • Perfect for when sales team forwards customer requests

🤖 Mail2ERP with optional AI & ML

  • To increase the precision you can activate external AI and Large Language Models
  • Machine Learning is used to improve based on the data

⚙️ Setup & Configuration

🎯 Quick Setup Guide

Setting up AutoSPAM takes just 5 minutes:

  1. Step 1: Go to BOTS4.me/bots and log in
  2. Step 2: Navigate to Settings → AutoSPAM
  3. Step 3: Add your email accounts and select which folders to monitor
  4. Step 4: Select your language in /bots → Settings → Billing Information → App Language for automatic folder and onboarding email translation
  5. Step 5: Start moving emails to the _AutoSPAM folders (for example ALLOW for senders you always want) – this already works in Demo Mode
  6. Step 6: Read your first Demo report, then turn Demo Mode off in AutoSPAM → Control (see Demo Mode below)

📧 Email Account Configuration

Supported Accounts: Gmail, Outlook, Office 365, Exchange, IMAP/SMTP, and any email provider

Folder Monitoring: By default, AutoSPAM monitors your main inbox. You can configure it to monitor specific subfolders.

Multiple Accounts: You can connect multiple email accounts and protect them all through one AutoSPAM dashboard. Each higher plan comes with a larger monthly usage allowance; see the pricing widget for current estimates.

🎭 Demo Mode

New AutoSPAM subscriptions start in Demo Mode. AutoSPAM reads and judges your new emails exactly as it would live, but it moves, deletes and changes nothing in your mailbox. It already creates its _AutoSPAM folders: drag emails into ALLOW, SPAM, VIP or your own lists and AutoSPAM learns from them and moves them on, exactly as it will live – nothing stays parked in those folders. The LOGS buttons start once AutoSPAM is LIVE.

Your report: you get an email of what AutoSPAM would have done — how many emails would go to SPAM, VIP, suppliers and your own lists, and how many would stay in your inbox, with examples and the reason for each. The first report comes after the first run, then a daily summary while Demo Mode is on.

Going live: after your first report, turn Demo Mode off at BOTS4.me/bots → AutoSPAM → Control. From then on AutoSPAM sorts your mailbox for real. You can switch back to Demo Mode at any time — emails waiting in the AutoSPAM queue go back to your inbox.

Already using AutoSPAM? Nothing changes for you — your AutoSPAM stays live.

💡 Pro Tips

  1. Start with _AutoSPAM/REFUSED (when enabled): Check the _AutoSPAM/REFUSED folder once or twice daily to approve or block new senders. If disabled, manage new senders directly from your INBOX.
  2. Train early: Move a few emails to _AutoSPAM/SPAM and _AutoSPAM/ALLOW in the first week to teach the system your preferences
  3. Set up VIPs early: switch on VIP List (Control → AutoSPAM), then move emails from your key contacts to _AutoSPAM/VIP.
  4. Combine with Mail2ERP: Get complete email automation by using both products together
  5. Review spam occasionally: Check the _TRASH/SPAM folder once a week for any real emails wrongly moved here

The Logs tab says why each email was moved. With Automatic Clean-up on, deleted after 30 days or when more than 1000 emails are present. Check occasionally for real emails wrongly moved here and move them to _AutoSPAM/ALLOW.
🤖 _TRASH/AutoSPAM (optional)

❓ Frequently Asked Questions

What happens when I move an email to an _AutoSPAM folder?

The system learns from your action and applies it to ALL future emails from that sender. For example, if you move an email to _AutoSPAM/ALLOW, all future emails from that sender will automatically go to your INBOX. The email you moved will also be automatically sorted to its correct destination. For a single email you can also click the matching button under its message in _AutoSPAM/LOGS — both teach AutoSPAM exactly the same.

How often should I check the _AutoSPAM/REFUSED folder?

Check it 1-2 times per day when the _AutoSPAM/REFUSED Folder feature is enabled. This folder only contains emails from unknown senders that the AI couldn’t confidently classify. Most spam is already handled automatically, so _AutoSPAM/REFUSED typically contains legitimate emails from new contacts. If you prefer, you can disable the _AutoSPAM/REFUSED folder in settings and manage new senders directly from your INBOX.

I accidentally blocked someone. How do I unblock them?

Find any email from that sender in your _TRASH/SPAM folder and move it to _AutoSPAM/ALLOW. The system will remove them from the blocklist, and their future emails will be delivered normally.

Can I use AutoSPAM with multiple email accounts?

Yes — you can connect multiple email accounts and protect them all through a single AutoSPAM subscription. Each higher plan comes with a larger monthly usage allowance. Pick the tier that matches your combined inbox volume; see the pricing widget for current estimates. Configure all accounts at BOTS4.me/bots.

What email providers are supported?

AutoSPAM works with Gmail, Outlook, Office 365 (with direct integration), Yahoo, and all IMAP-compatible email providers. Both personal and business accounts are supported.

How does the frequency-based spam protection work?

AutoSPAM monitors how many emails each sender is sending within specific time windows (1 hour, 12 hours, weekly). If a sender exceeds the threshold, they’re automatically blocked. Thresholds are automatically calculated. Known/allowed senders have higher limits than unknown senders.

What is fake-sender protection?

Fake-Sender Protection detects when someone tries to send emails pretending to be from your own domain (e.g., fake emails claiming to be from your boss / phishing for access etc.). These are automatically blocked.

Do the folders need to be in English?

No! AutoSPAM automatically creates folders with names translated into your language. The system works with folder names in English, German, French, Spanish, Czech, and many other languages. Your team can use AutoSPAM in their native language. Set your language at Settings → Billing Information → App Language on the BOTS4.me/bots dashboard. Onboarding instruction emails are also sent in your chosen language.

What’s the difference between AutoSPAM standalone and AutoSPAM in Mail2ERP?

Mail2ERP includes basic spam filtering so that it does not process spam, but the standalone AutoSPAM product adds advanced features: AI-powered sender evaluation, frequency-based spam protection, fake-sender filtering, VIP lists, and sophisticated automation. We recommend using Mail2ERP with AutoSPAM together for complete email workflow automation.

Can I turn off the AI automation features?

Mostly. Frequency protection and fake-sender detection can be toggled on/off individually in the dashboard at BOTS4.me/bots. Analysis of unknown senders runs always, on every plan (on the free plan its AI second opinion is limited to a few emails a day) — it is what keeps an unknown sender from reaching your inbox unchecked. You can still use AutoSPAM as a simple manual system by leaving the optional features off. You can also set AI to Off on the Control tab; the rule-based checks keep working.

How long does AutoSPAM keep emails in folders?

With Automatic Clean-up switched on (Business plan and up, off by default), AutoSPAM cleans up old emails: emails older than 30 days are deleted from _TRASH and its sub-folders (all created by us), your mailbox’s native Junk and native Trash. These folders are also kept under 1000 emails. Emails left in _AutoSPAM/REFUSED are removed after 180 days. Deletion is paced according to your plan (a limited number of emails per day). Once switched on, this happens automatically – no maintenance required.

Your Sent folder is never cleaned unless you ask for it: switch on Clean Sent Folder in the dashboard and emails older than 365 days are removed from it too. It needs Automatic Clean-up to be on as well, and it is off by default.

Where can I see statistics and logs?

Visit the dashboard at BOTS4.me/bots to view detailed statistics, processing logs, sender lists, and configure all settings. You can see exactly how many emails were processed, blocked, allowed, with exact logs of which email was processed and how.

I can’t find an email. Where should I look?

Last emails folder: copies of your last 20 emails (50 on Business and Enterprise) in _LAST-20 — handy for a verification code or an email that seems lost. Switch it on: General Dashboard → Security → Last emails folder. Included in every paid plan, off by default. Gmail does not need it: use Gmail’s All Mail.

Where does automatically detected spam go?

AutoSPAM’s AI continuously analyzes incoming emails for suspicious patterns — content, sender behavior, unusual frequency, and more. Flagged emails, emails from fake senders and emails with dangerous attachments are automatically moved to _TRASH/SPAM — the same folder as emails from senders on your spam list — without any action on your part. The Logs tab says why each email was moved: on your spam list, looked like spam, fake sender or dangerous attachment. You should check this folder periodically (e.g., once a week) for any real emails wrongly moved here. If you find a legitimate email there, simply move it to _AutoSPAM/ALLOW — the sender will be approved forever and their future emails will go to your INBOX. Prefer a separate folder? Switch off One spam folder at BOTS4.me/bots → Control → AutoSPAM → AutoSPAM Features, and new automatically detected spam goes to its own _TRASH/AutoSPAM folder. Emails already in _TRASH/SPAM stay there. While AutoSPAM is still learning a new mailbox (its first two weeks), and for emails that look like orders or invoices, a new sender’s email is never moved to _TRASH — it is kept for your review.

What is Attachment Security?

Attachment Security is a set of 7 filters that automatically block emails containing dangerous file types (executables, scripts, macros, disk images, archives, and web content). Blocked emails go to _TRASH/SPAM with their read or unread state untouched, so you can review them there. Four filters are ON by default (executables, disk images, macros, scripts) and three are OFF by default (common archives, uncommon archives, web content). Executables, disk images and scripts are always on and have no toggle; the other four you switch individually in your dashboard settings.

A legitimate email was blocked by Attachment Security. How do I recover it?

Check your _TRASH/SPAM folder (the Logs tab shows it was moved for a dangerous attachment) — a blocked email keeps the read or unread state it arrived with, so a recent one is usually still unread. Move the email to _AutoSPAM/ALLOW to approve the sender permanently. If you frequently receive a specific file type (e.g., .zip from a supplier), consider turning off that particular filter at BOTS4.me/bots → Control → AutoSPAM → AutoSPAM Features.

I need help! How do I get support?

Email us at support@bots4.me for assistance. We’re here to help! You can also check the dashboard logs at BOTS4.me/bots for more information.

How do I reverse any decision (VIP, custom list, etc.)?

Move any email from that sender to _AutoSPAM/ALLOW. This resets the sender’s AutoSPAM decisions (spam, VIP, supplier and custom lists). Their emails will go to regular INBOX. Supplier2ERP also stops importing the sender (drag one of its emails into _Supplier2ERP/IMPORT to resume); Pay2ERP bank choices change only through the _Pay2ERP/IMPORT and DO_NOT_IMPORT folders.

What are Custom Folders?

You can create up to 3 custom sorting categories (like FAMILY, CUSTOMER, PROJECTS) at /bots → Control → AutoSPAM. AutoSPAM creates learning folders (_AutoSPAM/FAMILY) and destination folders (_FAMILY). Move emails to the learning folder to sort senders into that category. Changes can be made once every 8 hours.

Can I share my learning with family or friends?

Yes! Enable Monthly Lists Export in your settings. You’ll receive a monthly email with your learned lists, and you can share them with anyone. They import into their own account by mailing the lists to autospam@bots4.me from that account’s own email address, inside a ZIP protected with their Lists password (or their generated one) — mail from any other address, plain .txt attachments and unencrypted ZIPs are refused. Importable lists: SPAM, ALLOWED, SPAM_FREE, ALLOWED_FREE, VIP, SUPPLIERS and their own custom lists. Entries are added and de-duplicated — nothing is replaced or removed. Imports run at most once a day, and a report comes back by email. Teach AutoSPAM once, benefit together.

How does Learn from Junk work?

AutoSPAM reads your Junk/Spam folder daily: it learns the senders as spam and moves those emails to _TRASH/SPAM, and it moves emails from senders you know back to your inbox. On by default.

What is the _AutoSPAM/QUEUED feature?

Pre-processing (Family plan and up, off by default): new emails first land in _AutoSPAM/QUEUED, are checked there, and only clean emails reach your inbox. Mail2ERP, Supplier2ERP and Pay2ERP can read their emails straight from this folder. If AutoSPAM is switched off, paused or in Demo Mode, queued emails go back to your inbox.

What does Smart Text Analysis detect?

Smart Text Analysis analyzes email content in all 31 supported languages, detecting urgency manipulation tactics, scam phrases (lottery, crypto schemes, fake medicine), and phishing attempts (account verification, password resets). Each category is scored to avoid blocking real emails by mistake. It also recognizes hospitals, courts, authorities and emergency services, so their messages are reviewed instead of treated as spam.

Is there a free version?

Yes — the free plan has a small monthly allowance and no time limit. It gives you manual controls (ALLOW, REFUSE, SPAM, VIP), blocking of executables, disk images and scripts, dashboard access, 31 languages, and works with any email provider. Paid plans unlock progressively richer features: Personal adds AI sorting, fake-sender protection, learn-from-sent, logs in your mailbox, common-archive and macro blockers; Family adds pre-filter queue, frequency filter, custom folders, monthly list export, supplier separation, uncommon-archive and web-content blockers; Business adds smart text analysis, auto-cleanup, sent-mail clean-up and blocking by single address (SPAM by Email); Enterprise adds SLA / dedicated server / dedicated support on request. Your first month is a free Discovery month: the Personal allowance plus many Family and Business features to try. Without a paid plan, AutoSPAM then continues on the free plan with a small monthly allowance.

🔧 Troubleshooting

⚠️ Emails aren’t being sorted automatically

Check these things:

  1. Verify AutoSPAM is active in your dashboard
  2. Make sure you have an active plan, or free-plan allowance left this month
  3. Check that the email connection works (no Reconnect warning in Settings → AutoSPAM)
  4. Wait for the next run – AutoSPAM processes in batches on your Run Schedule (Highest priority on Business and Enterprise). Initial activation can take up to 60 minutes – depends on current server load.
  5. Check the processing logs in the dashboard for any errors

⚠️ Legitimate emails are going to SPAM

Solution:

  1. Find the email in your _TRASH/SPAM folder (the Logs tab shows why it was moved)
  2. Move it to _AutoSPAM/ALLOW to allow the sender
  3. Or move it to _AutoSPAM/VIP if it’s from an important contact

⚠️ Too many emails in _AutoSPAM/REFUSED folder

This is normal at first! As you train AutoSPAM by moving emails, the _AutoSPAM/REFUSED folder will have fewer and fewer items. AutoSPAM learns from each action. After a week or two of training, you should see significantly fewer emails landing in _AutoSPAM/REFUSED. Alternatively, you can disable the _AutoSPAM/REFUSED folder in settings if you prefer all emails to arrive in your INBOX.

Tips to speed up training:

  1. Spend 10-15 minutes sorting through _AutoSPAM/REFUSED on the first day (if enabled)
  2. Move ALL emails to appropriate folders (_AutoSPAM/ALLOW, _AutoSPAM/SPAM, _AutoSPAM/VIP)
  3. The more you teach it, the smarter it gets

⚠️ _AutoSPAM folders aren’t showing in my email client

Try these steps:

  1. Refresh/reload your email client
  2. Check that AutoSPAM is switched on (Bot Power) on the Control tab
  3. Manually create the folders if needed (see folder names in guide)
  4. Check that the connection has no Reconnect warning in Settings → AutoSPAM

⚠️ Emails with attachments are being blocked unexpectedly

Check these things:

  1. Go to BOTS4.me/bots → Control → AutoSPAM and review which Attachment Security filters are enabled under AutoSPAM Features
  2. Check _TRASH/SPAM for the blocked email (still unread if it had not been opened)
  3. Move the email to _AutoSPAM/ALLOW to approve the sender
  4. If needed, turn off the specific filter (e.g., Block Common Archives) that is blocking real emails by mistake

⚠️ VIP emails aren’t going to _VIP folder

Check:

  1. VIP feature is enabled in the dashboard settings
  2. You’ve actually moved an email from that sender to _AutoSPAM/VIP
  3. Wait for the next processing run (see your Run Schedule in the Control tab)
