Simple step-by-step instructions to connect your email and business systems. No technical expertise required.

🔐 Your Data, Your Control

Most Services: We use “Secure Quick Connect” — Gmail, Outlook, Google Drive, OneDrive, Dropbox, Box, Slack, and many more. You log in directly on their website — your password never touches our servers. They give us a permission key that only does what you approved. Revoke access anytime from your provider’s account settings.

For some services, we connect using encrypted credentials. Your details are protected the instant you enter them — same encryption banks use. Never stored unencrypted, even for a moment.

Either way: YOU control everything from your /bots dashboard — toggle connections on/off instantly, view all active connections, disconnect any app with one click.

Enable 2-Step Verification (Required by Google)

Google requires this for app passwords:

  • Go to myaccount.google.com
  • Click “Security” in the left menu
  • Find “2-Step Verification” and turn it ON
  • Follow the setup wizard (takes 2 minutes)

Generate App Password

This special password is just for BOTS4.me:

  • Stay in Google Account Security
  • Search for “App passwords” in the search bar
  • Click “Select app” → Choose “Mail”
  • Click “Select device” → Choose “Other”
  • Type: BOTS4.me
  • Click “Generate”
Copy this password now! It looks like: abcd efgh ijkl mnop You won’t see it again after closing.

Why is there no manual setup? / Authorization problems
Passwords and app passwords no longer work Microsoft has permanently disabled Basic Authentication (regular passwords AND app passwords) for IMAP/SMTP on Microsoft 365. Third-party apps can only connect via OAuth — there is no manual password setup. You sign in directly with Microsoft; BOTS4.me never sees or stores your password.

If Authorization Fails: Ask Your IT Administrator

In business tenants your IT admin controls which apps may access mailboxes. Ask them to:

  • Approve the BOTS4.me app when the Microsoft consent screen requests admin approval
  • Or pre-authorize it in Microsoft Entra (Azure AD) → Enterprise applications
  • Or connect using your organization’s own OAuth app — BOTS4.me supports custom OAuth credentials
Note: BOTS4.me will automatically configure IMAP/SMTP settings for Office 365.

Outlook.com / Hotmail / Live Setup

Why is there no manual setup? / Authorization problems
Passwords and app passwords no longer work Since September 2024 Microsoft no longer allows third-party apps to access personal Outlook.com, Hotmail or Live mailboxes with a password or app password. Secure Quick Connect (OAuth) is the only supported way to connect — there is nothing to configure manually. You sign in directly on Microsoft’s own page; BOTS4.me never sees or stores your password.

iCloud doesn’t currently support Secure Quick Connect (OAuth), so manual setup is needed. Your credentials will be encrypted with RSA-2048 – the same technology banks use to protect sensitive data.

Exchange Server Setup

Get Information from IT Department

Ask your IT administrator for:

  • Exchange server address (e.g., mail.company.com)
  • Your domain name (e.g., COMPANY)
  • Username format (might be DOMAIN\username or email)
  • Any special security requirements

ProtonMail Setup

ProtonMail is not currently supported ProtonMail does not offer direct IMAP access — mailboxes can only be reached through ProtonMail Bridge, a program that runs locally on your own computer. Because BOTS4.me processes your email from our secure servers, we cannot reach a Bridge running on your machine, so ProtonMail accounts cannot be connected at this time.

Alternatives

  • Use a supported mailbox for automation Connect a mailbox from a supported provider (e.g. your company domain, Gmail, Microsoft 365) and forward the relevant email traffic to it
  • Contact us If ProtonMail support is important for your business, let us know — we track demand for new providers

FastMail Setup

GMX Mail Setup

Manual Setup (GMX does not offer OAuth for email apps)

GMX’s OAuth is limited to selected partner applications, so BOTS4.me connects via IMAP with your password (or app password). Your credentials are encrypted with RSA-2048 the moment you save them, and you can toggle access off anytime in /bots.

Mail.ru Setup

Choose “IMAP” as the provider

Mail.ru is not in the provider list — in BOTS4.me select the generic IMAP provider and use server imap.mail.ru (port 993, SSL) / smtp.mail.ru (port 465, SSL) with the app password from the steps below.

Sign in to mail.ru:

  • Click Settings (gear icon)
  • Go to “Email clients” section
  • Enable “Access to Mail.ru via IMAP”
  • Save settings

BOTS4.me connects to Seznam via IMAP with your password. Your credentials are encrypted with RSA-2048 the moment you save them, and you can toggle access off anytime in /bots.

Your Telekom login password will NOT work T-Online requires a separate “Passwort für E-Mail-Programme” (password for email programs) for IMAP access — this is the most common connection mistake.

Sign in to your Odoo account:

Find your database identifier:

  • Check the URL after logging in
  • Or go to Settings → Database

Create Integration User (Recommended)

For security, create a dedicated user:

  • Settings → Users & Companies → Users
  • Create new user: “BOTS4.me Integration”
  • Set appropriate access rights
  • Note the email and password
  • Bank statement import (Pay2ERP / AutoERP): this user additionally needs accounting rights — grant Accounting access (Accountant), or on Invoicing-only databases the technical “Basic” accounting group. Without it Odoo refuses statement creation and reconciliation is skipped.

Create an API Key (Recommended — Required with 2FA)

Since Odoo 14, an API key is the safest credential for integrations — and mandatory if the user has two-factor authentication enabled:

  • Log in as the integration user
  • Click the user avatar → My Profile (Preferences)
  • Open the Account Security tab → New API Key
  • Name it BOTS4.me and copy the key — use it in place of the password

  • Database Name Your database identifier

SAP Business One Setup

Manual Setup (SAP Business One uses Service Layer credentials, not OAuth)

SAP Business One is connected through its Service Layer with a dedicated SAP user — there is no OAuth flow. You’ll need a few details from your SAP administrator (see below). Your credentials are encrypted with RSA-2048 the moment you save them, and you can toggle access off anytime in /bots.
