How to Automate Odoo End-to-End: From Email Order to Paid Invoice

🎯 Why Automate Odoo at All?

Most Odoo companies automate the database and leave the workflow manual. A customer emails a PDF order — someone opens it, finds the products, and types a sales order. The order sits as a draft until someone confirms it. Stock is ready, but the delivery waits for a click. The invoice goes out late, the customer pays late, and the payment sits unreconciled until month-end. Every one of those steps is minutes of skilled labor spent on copy-paste, and every retype is a chance for a wrong quantity, a wrong product code, or a missed order entirely.

The options people usually try each fall short somewhere. Manual processing works until volume grows or a key person goes on vacation. The built-in Odoo email gateway can create records from emails, but it does not read PDF attachments, Excel files, or scanned documents — which is how real customers actually send orders. Custom development gives you exactly what you want, but you pay for it twice: once to build it and again every time Odoo upgrades. Zapier-style connectors are fine for simple field-mapping triggers, but they are not built to understand a three-page order PDF in Polish, match product codes against your catalog, or decide whether a delivery should ship partially.

Step 2 — AutoERP: the order confirms, ships, and invoices itself

Once an order exists in Odoo, AutoERP takes over for every order you tag AutoERP (whole order) or AutoERP_partial (line by line): it confirms draft orders, sends proformas and confirmation emails, ships full or partial deliveries the moment stock is ready (oldest orders first, with a configurable minimum delivery value), detects pickup orders, and blocks shipments to customers with overdue balances via credit checking. Step 3 — AutoCASH: overdue invoices get chased automatically

AutoCASH finds overdue invoices in Odoo and escalates step by step — an invoice list, a 1st reminder, a 2nd reminder and a final reminder, one level per run while the invoices stay unpaid — starting a configurable number of days after the due date. Reminders repeat at an interval you set so no customer is double-reminded, customers on your “Never chase these customers” list and debts below your minimum are skipped, and a day-before preview tells you exactly what will go out. Step 4 — Pay2ERP: the payment reconciles itself

Pay2ERP captures incoming payments from bank notification emails and from the Wise API (Revolut on request), extracts the amount and payment reference using 34 built-in patterns in 12 languages, matches them to open invoices — including combinatorial matching for batch payments — and records the payment in Odoo with automatic reconciliation. ⚙️ How to Set It Up — About 5 Minutes per Bot

The whole suite connects to Odoo through one free module, BOTS4.me Connect, published on apps.odoo.com and supporting Odoo 13 through 19. Odoo Online, which forbids custom Python, connects with a standard Odoo API key instead. Odoo Online needs Odoo’s Custom plan for API access. Worth switching on during the month

• Mail2ERP: RFQ Detection, plus product matching by Vendor Codes (cross-trade), Barcodes (EAN/UPC/GTIN), Manufacturer Part Number and Customer References.
• AutoERP: Partial Shipping (ship the lines that are in stock, oldest orders first) and Credit Checking (hold shipments for overdue customers or unpaid proformas).
• Pay2ERP: Daily Export, a daily Excel list of all processed payments for your accountant.
• AutoCASH: Escalate up to and Repeat reminders every — their tooltip says they are included in your free Discovery month — to try the full reminder ladder at your own pace.
• Supplier2ERP: Auto-Update Quantities, so confirmed quantity changes are applied to the purchase order instead of only being reported.

Deleting and other real-world actions, such as Supplier2ERP price edits, are not part of the Discovery month.
