How to Back Up Office 365 or Gmail Email to Your Own Cloud

🎯 Why “It’s in the Cloud” Is Not a Backup

Most businesses assume that because email lives at Microsoft or Google, it is safe. But the provider protects its infrastructure, not your access. The everyday failure modes have nothing to do with data centers burning down:

• Account suspension or lockout. A billing issue, a flagged login or a policy decision can cut you off from every email you have ever received — instantly and sometimes permanently.
• Human deletion. An employee empties the wrong folder, a leaver’s mailbox is purged after 30 days, a retention policy quietly expires old mail.
• Account takeover. A phished password lets an attacker delete or ransom your correspondence.
• Compliance and GDPR. If your email holds business records — orders, contracts, invoices — you need your own retrievable copy, in a location and format you control, independent of any single processor.
• Provider dependency. Want to leave your provider one day? Without your own copy, your history is a hostage.

The fix is old-fashioned and effective: keep a second, independent copy of every email in storage that belongs to you — and keep it current automatically.

🔧 The Usual Approaches — and Their Gaps

Manual exports (PST files, Google Takeout)

One-off exports work for a snapshot, but they are manual, easy to forget, and produce monolithic archive files you can’t browse without special software. A backup you have to remember to run is a backup you will eventually not have.

Desktop email clients as “archives”

Keeping Outlook or Thunderbird syncing to a local machine sort of works — until the laptop dies, the profile corrupts, or the one PC holding the archive is reinstalled. It also backs up one person’s mail, on one machine, with no encryption and no reports.

Third-party backup SaaS that stores your email on their servers

Many email backup services copy your mailbox onto their infrastructure. That solves the deletion problem but creates a new one: a second company now holds all your correspondence, and GDPR-wise you’ve added another processor with full content access. For sensitive business mail, that is often exactly what you were trying to avoid.

🤖 The Automated Way: Mail2CLOUD

Setup in about 5 minutes

• Step 2 — Connect your mailbox: Open Settings (gear) → Mail2CLOUD → Access Manager → Add Source. Secure Quick Connect (OAuth) works for Office 365, Gmail and Zoho Mail; Exchange, GMX and any other provider connect over IMAP, with credentials encrypted at input.
• Step 3 — Connect your storage: In the same Access Manager, click Add Destination. Dropbox, Google Drive, OneDrive and Box connect with Secure Quick Connect; AWS S3 (plus Wasabi and Backblaze B2), Azure Blob, FTP/FTPS/SFTP and WebDAV connect with their access details. Several destinations are written at the same time.
• Step 4 — Choose a mode: Backup only (one-way to your cloud, the default) or Bidirectional Sync (two-way with conflict resolution, Business plan and up). Optionally switch on Compression and, with a Backup password, Encryption — Mail2CLOUD then runs on its own; there is no schedule to set. To bring mail back, use Restore emails → Find emails I can restore.
• Step 5 — Start in Demo Mode: Mail2CLOUD scans your real mailbox but uploads nothing, and emails you a preview of exactly what it would back up, folder by folder. When the DEMO reports look right, set Mode to LIVE on the Control tab — it unlocks after the first DEMO report email.

🧭 Try It in Your Free Discovery Month

One month is enough to get a complete, verified backup of a real mailbox and to test a restore. Your Discovery month gives you the usage allowance of the Personal plan with Encryption, the Backup password and Move Detection unlocked to try, and no credit card needed.

Day 1 — Start and connect

• Sign in at bots4.me/bots, click Start free Discovery month on the Mail2CLOUD card and accept the Terms once — no credit card needed.
• Open Settings (gear) → Mail2CLOUD → Access Manager. Click Add Source for your mailbox and Add Destination for your cloud storage. Details: Getting Connected guide.

Day 1 — Choose what to back up

Open the Control tab and choose Mail2CLOUD:

• Sync Mode: keep Backup only — your mailbox is never changed.
• Back up emails from the last: how far back Mail2CLOUD goes. Your plan sets the maximum, and during the Discovery month the Personal limits apply. When an email becomes older than this period, its backup copy is removed; the email itself stays in your mailbox.
• Keep deleted emails for: how long an email you delete from your mailbox stays restorable in your backup.
• Switches with a Discovery tag on the Control tab are included in your free month and start switched off — switch on the ones you want to try.
• Tick Encryption and enter a Backup password — its tooltip says it is included in your free Discovery month. Your backups become AES-256 ZIP files only you can open; store the password safely, we cannot recover it.
• Tick Move Detection so emails you move between folders are followed instead of copied twice. Compression is included in your month too.
• Summary email: once a day, once a week (the default) or once a month.

Days 1–2 — DEMO first, then LIVE

• Mail2CLOUD starts in Demo Mode: you get one preview email showing how many emails would be backed up, folder by folder, with a few examples. Check that the folders you care about are listed — Trash, Junk, Spam and the AutoSPAM working folders are skipped; Sent and Drafts are included.
• When the DEMO reports look right, set Mode to LIVE on the Control tab — it unlocks after the first DEMO report email. Mail2CLOUD then runs on its own in the background, smaller folders first.

Week 1 — Check that it worked

• Open your cloud storage: every email is a folder (or a ZIP file) with the original message as message.eml, the readable text, the metadata and the attachments, in your mailbox’s own folder structure.
• Watch Backup Progress % on the dashboard. At 100%, every email in your chosen period is backed up and only new mail is processed. Each run also writes a row to the Logs tab and to the _Mail2CLOUD/LOGS folder.
• Test a restore: under Restore emails click Find emails I can restore, choose a folder, tick Also copy emails that are still in my mailbox and click Restore these emails. The copies appear in INBOX/_Mail2CLOUD/RESTORED/(date).

When the month ends

When the month ends, Mail2CLOUD continues on the free plan by itself with a small monthly allowance: when it is used, new items wait until next month or until you choose a plan, and an item already started always finishes. Choose a plan to keep all features — see the plan table on the Mail2CLOUD product page.

On the free plan Mail2CLOUD backs up the new mail of one mailbox and keeps it for a shorter period; Encryption and Move Detection pause. The backups already in your cloud are not deleted because your plan changed, and restoring stays free.

📁 What Your Backup Actually Looks Like

Mail2CLOUD doesn’t produce an opaque archive blob. Every email becomes a browsable folder — the original message as a standard .eml file, readable text/HTML for the body, JSON for the metadata, and the original attachments as plain files — organized in the exact folder structure of your mailbox:

You can open any email in a browser, search your backups with your cloud provider’s own search, and hand auditors a self-explanatory file tree — no proprietary reader required.

• Incremental runs: only new and changed emails are processed, so frequent runs stay fast and cheap on storage.
• Move detection: the backup follows emails moved between folders instead of piling up duplicate copies (Family plan and up).
• Restore in a few clicks: under Restore emails, choose a mailbox, the folders and optionally the months, then click Restore these emails. Only emails missing from your mailbox come back, into INBOX/_Mail2CLOUD/RESTORED/(date) in the same folder structure — nothing in your mailbox is changed, and restoring is free, also on the free plan.
• Reports and logs: one summary email — weekly by default, or daily or monthly under Summary email — plus a row for every run in the dashboard’s Logs tab and in the _Mail2CLOUD/LOGS folder of your mailbox; every feature individually toggleable, protected by 2FA, EU-hosted and built for GDPR.

🌍 Supported Mailboxes and Destinations

Email sources: Office 365 / Outlook.com, Gmail and Google Workspace, Yahoo, iCloud, AOL, Zoho, Yandex, GMX, on-premise Exchange and any IMAP-compatible mailbox — OAuth is managed for Gmail and Office 365.

Storage destinations: Dropbox, Google Drive, OneDrive, Box, AWS S3, Wasabi, Backblaze B2, Azure Blob, FTP, FTPS, SFTP and WebDAV. You can back up one mailbox to several destinations at once — for example Dropbox for daily browsing plus an S3 bucket as cold storage.

Cross-provider combinations are the point: export Gmail to OneDrive, back up Office 365 to Google Drive, or mirror an old IMAP account into S3 before you decommission it.
