Email Automation for Small Business: Spam, Backup and Orders Handled
Four bots, one dashboard — the inbox stops being a job
In a small business, email is the operating system: orders arrive there, invoices live there, and spam attacks land there too. This guide shows a practical email automation stack for small business — block spam permanently with AutoSPAM, back up every mailbox to your own cloud with Mail2CLOUD, turn order emails into ERP records with Mail2ERP, and answer customer questions with Mail2KNOW — all from one dashboard, set up in minutes, no IT department required.
🎯 The Small-Business Inbox Problem
Big companies throw people at email: an IT admin tunes the spam gateway, an ops team archives mailboxes, clerks retype orders into the ERP. A small business has the same email workload and none of those people — so the owner and the team absorb it personally, every day:
- Triage tax. Every morning starts with deleting spam and hunting for the real messages between newsletters and phishing attempts — on every account, on every device, again tomorrow.
- Unprotected history. Years of orders, contracts and invoices exist only inside one email account. One lockout, takeover or accidental purge and the company’s memory is gone.
- Manual retyping. Customer orders arrive as PDFs and Excel files and someone copies them, line by line, into the ERP or accounting system — slow, boring and error-prone.
Generic fixes only partially help. Built-in spam filters train per account and forget everything when you switch providers. Manual PST or Takeout exports happen once and never again. Zapier-style connectors move simple structured data but are not built to read a scanned PDF order in a foreign language. What a small business actually needs is a set of specialists that run on the schedule you set and report back — which is exactly what a bot suite is.
🤖 The Four-Bot Stack
🛡️ AutoSPAM — the gatekeeper
Move one junk email to the _AutoSPAM/SPAM folder and that sender is blocked permanently, across all your accounts, devices and providers — Gmail, Office 365, Yahoo, Exchange, any IMAP. An optional _AutoSPAM/REFUSED quarantine holds unknown senders for one-time approval, attachment filters block executables and macros, and frequency protection stops mail-bomb attacks (it survived a real 1.5-million-email attack in 15 minutes).
Cost to start: a free Discovery month, then a permanent free plan (manual lists, a small monthly allowance, no time limit). Paid plans add the AI auto-learner and much larger lists.
💾 Mail2CLOUD — the archivist
Mirrors every mailbox to cloud storage you own — Dropbox, Google Drive, OneDrive, AWS S3, Azure Blob or your own FTP/SFTP — preserving your folder structure, every email as browsable HTML plus attachments. Incremental runs, optional AES-256 encryption, one-click restore, and 100% rule-based processing: no AI ever reads your mail and BOTS4.me never stores your data.
Why it matters: data ownership and a clean GDPR story — your emails end up only in your own accounts.
📥 Mail2ERP — the order clerk
Reads customer orders and RFQs from email — PDF, Excel, Word, CSV, images and scanned documents via OCR, in any language, no templates — and writes them into your ERP with a full audit trail and duplicate detection. Works with Odoo, ERPNext, Zoho, Dolibarr, Business Central online, QuickBooks Online, Xero and SAP Business One, and any other ERP with an API on request. One real-world user, IMP Kontakt, turns thousands of emailed RFQs and orders a month into ERP records this way.
💬 Mail2KNOW — the support desk
Builds a company knowledge base from the documents you email it — PDF, Word, Excel, CSV and, once switched on, scans and images — and answers customer questions from it in each customer’s own language, 31 languages supported. When it doesn’t know, it asks you once, learns your reply and answers the customer. In DEMO you approve each answer with one click; in LIVE it answers customers automatically. Questions from your colleagues are answered straight back.
Needs: only the mailbox your customers write to — no ERP, no help desk, no website widget.
Email arrives
AutoSPAM filters spam & phishing
Mail2ERP imports orders to your ERP
Mail2CLOUD backs everything up to YOUR cloud
🔗 Why the four work better together
They work on the same mailbox from one dashboard, and each protects the others. AutoSPAM filters first, so spam and phishing never become false orders in your ERP. Mail2ERP processes what’s left, so orders stop being retyped, and Mail2KNOW answers the questions you hand it from the same mailbox. Mail2CLOUD backs up the very mailbox the other bots depend on, so the evidence trail — original order emails included — is always safe, searchable and restorable.
⚙️ One Setup, About Five Minutes Per App
- Step 1 — Sign in once: Create your account at bots4.me/bots. Every BOTS4.me app lives in the same dashboard: on each app’s card, Start free Discovery month starts that app free for a month — no credit card needed.
- Step 2 — Connect your mailbox in each app: Open Settings (gear) → the app → Access Manager → Add Source. Secure Quick Connect (OAuth) signs you in at Gmail, Office 365 or Zoho Mail — your password never reaches us — and IMAP covers everything else, with credentials encrypted at input. No middleware. You can connect the same mailbox to every app you use.
- Step 3 — Add AutoSPAM: _AutoSPAM/ALLOW and _AutoSPAM/SPAM appear in your mailbox; switch on VIP List and REFUSED Folder on the Control tab for the VIP folder and the quarantine. Start teaching it by moving emails — this already works in Demo Mode. After the month, AutoSPAM keeps running on its free plan.
- Step 4 — Add Mail2CLOUD: Connect a cloud destination with Add Destination and keep Backup only (Bidirectional Sync starts at the Business plan). For encrypted backups, switch on Encryption and set a Backup password (Family plan, included in your Discovery month). Backups then run on their own.
- Step 5 — Add Mail2ERP: Connect your ERP (for Odoo, the free BOTS4.me Connect module covers versions 13–19) and let it classify and import orders.
- Step 6 — Start everything in Demo Mode: Each bot first shows what it would do without changing anything. Switch Demo off (LIVE) when the reports look right.
Day to day, you manage the stack from one control panel: Bot Power on/off per app, Control, Logs and Settings tabs, a Run Schedule where the app has one, operating hours, and every feature individually toggleable. The bots email you their reports — after each run or as a daily, weekly or monthly summary, depending on the app — so you supervise by reading two minutes of summary instead of doing an hour of inbox work. The platform is EU-hosted, built for GDPR, offers 2FA, and sends its reports in 31 languages.
🧭 Try the Stack in Your Free Discovery Months
The first purchase of each app starts with its own free Discovery month: the Personal plan’s usage allowance — plus Family and Business features to try in AutoSPAM, Mail2CLOUD and Mail2ERP — with no credit card needed. Start each one with Start free Discovery month on its card at bots4.me/bots, connect it under Settings → the app → Access Manager, then work through its list below. Switches with a Discovery tag on the Control tab are included in your free month and start switched off.
🛡️ AutoSPAM
- Switch on VIP List, REFUSED Folder and, to try them, Frequency-Based Filter, Smart Text Analysis and Pre-processing.
- In Demo Mode, teach it by moving emails into _AutoSPAM/SPAM, _AutoSPAM/ALLOW and _AutoSPAM/VIP. When the DEMO reports look right, set Mode to LIVE on the Control tab — it unlocks after the first DEMO report email.
- Check the Logs tab and _TRASH/SPAM once a week; move any real email to _AutoSPAM/ALLOW.
💾 Mail2CLOUD
- Add your mailbox with Add Source and your cloud with Add Destination; keep Sync Mode on Backup only.
- Switch on Encryption with a Backup password and Move Detection. Read the DEMO preview, then set Mode to LIVE on the Control tab — it unlocks after the first DEMO report email.
- Watch Backup Progress % reach 100% and test a restore under Restore emails.
📥 Mail2ERP
- Connect your mailbox with Add Source and your ERP with Add Destination; for Odoo, the free BOTS4.me Connect module sets up the connection for you.
- Switch on RFQ Detection and the product-matching switches you need — Vendor Codes (cross-trade), Barcodes (EAN/UPC/GTIN), Manufacturer Part Number, Customer References.
- In Demo Mode, Mail2ERP emails you exactly what it would import and writes nothing to your ERP. When the DEMO reports look right, set Mode to LIVE on the Control tab — it unlocks after the first DEMO report email.
💬 Mail2KNOW
- Copy your Learning token from Mail2KNOW Control on the Control tab and email your FAQ, price list and terms to the mailbox with the token in the subject.
- In DEMO, send a test question from outside your company, read the draft and click Send answer; answer any [Q-xxxx] email to fill a gap.
- When the drafts look right, set Mode to LIVE: Mail2KNOW answers customers automatically and sends you a draft only when it is unsure.
When a Discovery month ends, that app continues on the free plan by itself with a small monthly allowance: when it is used, new items wait until next month or until you choose a plan, and an item already started always finishes. Your settings and data are kept, and choosing a plan brings every feature back at once — see the plan table on each product page.
🚀 When You’re Ready for More
These three bots are the natural entry point, but the same dashboard hosts a full order-to-cash and procure-to-pay suite: AutoERP confirms and ships orders and issues invoices, Pay2ERP matches bank payments to invoices, AutoCASH chases overdue ones, Supplier2ERP reads supplier confirmations, and AutoSTOCK and AutoPURCHASE keep inventory and purchasing data-driven. If you run Odoo, start with the big-picture guide: how to automate Odoo end-to-end.
Not on Odoo? Mail2ERP also runs on ERPNext, Zoho, Dolibarr, Microsoft Dynamics 365 Business Central (online), QuickBooks Online, Xero and SAP Business One, and any other ERP with an API (Dynamics 365 Finance / Sales, NetSuite and others) is connected on request — while AutoSPAM and Mail2CLOUD are ERP-independent and work for any business with a mailbox.
❓ Frequently Asked Questions
What email tasks should a small business automate first?
Start with the three highest-return tasks: spam filtering (AutoSPAM, because it saves everyone time daily and has a permanent free plan), mailbox backup (Mail2CLOUD, because email loss is irreversible), and order entry (Mail2ERP, if customers send orders or RFQs by email). Each takes about five minutes to set up and runs unattended afterwards.
Do I need an IT department to run email automation?
No. Where available, onboarding uses Secure Quick Connect (OAuth) — you log into your email provider and grant access; other providers connect over IMAP with an app password. There is no server, script or middleware to maintain. Everything is managed from the bots4.me/bots dashboard with per-app Control, Logs and Settings tabs, and the bots send you plain-language email reports — after each run or as a daily, weekly or monthly summary, depending on the app.
Can I test email automation without letting it change anything?
Yes. Every BOTS4.me app starts in Demo Mode: it analyzes your real mailbox and reports exactly what it would do — which emails it would file, back up or import — while writing nothing. You switch Demo off only when the reports match your expectations.
Which of these apps are free for small businesses?
All of them. Each app starts with a free Discovery month — no credit card needed — and then continues on a free plan with a small monthly allowance unless you choose a plan. AutoSPAM’s free plan keeps your manual allow, block and VIP lists working with no time limit; Mail2CLOUD’s backs up the new mail of one mailbox; Mail2ERP and Mail2KNOW handle a small number of items each month. Prices are shown on each product page, and no long-term contract is required.
Is my email data safe with an automation service — what about GDPR?
The platform is EU-hosted, built for GDPR and protected by 2FA, with full decision logs for every action. Mail2CLOUD in particular is built around data ownership: backups go directly to cloud storage you own, optionally AES-256-encrypted with your password, processed by pure rules — no AI reads your mail and BOTS4.me never stores your messages.
Do these bots work on the same mailbox at the same time?
Yes — that’s the intended design. AutoSPAM filters incoming mail first, Mail2ERP processes the clean stream for orders and RFQs, Mail2KNOW answers the questions you hand it (move an email into the _Mail2KNOW folder), and Mail2CLOUD backs the mailbox up on its own — Trash, Junk, Spam and the AutoSPAM working folders are skipped. They coordinate through folders (for example, senders marked as SUPPLIER are never imported by Mail2ERP) and are all controlled from one dashboard.
We don’t use Odoo — does this stack still work?
Yes. AutoSPAM and Mail2CLOUD have no ERP dependency at all — they work with any Gmail, Office 365, Yahoo, Exchange or IMAP mailbox. Mail2ERP works with Odoo (versions 13–19, the deepest integration), ERPNext (15–16), Zoho (Books / Inventory), Dolibarr (23 and newer), Microsoft Dynamics 365 Business Central (online), QuickBooks Online, Xero and SAP Business One; any other ERP with an API is connected on request.
