Strong Security & Encryption

Getting Connected

Simple step-by-step instructions to connect your email and business systems. No technical expertise required.

🔐 Your Data, Your Control

Where available: We use “Secure Quick Connect” — Gmail, Outlook / Microsoft 365, Zoho Mail, Google Drive, OneDrive, Dropbox and Box. You log in directly on their website — your password never touches our servers. They give us a permission key that only does what you approved. Revoke access anytime from your provider’s account settings.

For some services, we connect using encrypted credentials. Your details are encrypted with RSA-2048 the instant you enter them. Never stored unencrypted, even for a moment.

Either way: YOU control everything from your /bots dashboard — see all active connections, reconnect or edit them, and delete any connection with one click.

Gmail / Google Workspace Setup

✓

Recommended: Secure Quick Connect

The fastest way to connect — just a few clicks, no passwords needed:

  • Go to /bots → Settings → click your App
  • Click “Add Source” → select Email → choose Gmail
  • Google’s sign-in window opens right away — sign in with the mailbox you want to connect
  • Authorize on Google’s page — done! While our Google verification is in progress, Google may show “Google hasn’t verified this app” — choose Continue, or Advanced → Go to bots4.me. If a Google authorization ever ends, one click on Reconnect in /bots restores it.

If Secure Quick Connect isn’t available yet, you’ll see options to request it or connect with your own OAuth app.

Advanced: Manual Setup (App Password)
1

Enable 2-Step Verification (Required by Google)

Google requires this for app passwords:

  • Go to myaccount.google.com
  • Click “Security” in the left menu
  • Find “2-Step Verification” and turn it ON
  • Follow the setup wizard (takes 2 minutes)
2

Generate App Password

This special password is just for BOTS4.me:

  • Stay in Google Account Security
  • Search for “App passwords” in the search bar
  • Enter a name for the app password
  • Use a name you will recognize later
  • Type: BOTS4.me
  • Click “Create”
Copy this password now! It looks like: abcd efgh ijkl mnop You won’t see it again after closing.

What You’ll Enter in BOTS4.me

  • Email Address Your full Gmail address (e.g., you@gmail.com)
  • Provider Choose the “IMAP” tile — the Gmail tile always uses Secure Quick Connect and has no password field
  • Email Password The 16-character app password from step 2
  • Mailbox Folder Leave as default or specify a folder
Automatic Configuration: Server settings fill in automatically when you type your Gmail address (or click “Detect settings”)!

Office 365 / Microsoft 365 Setup

✓

Recommended: Secure Quick Connect

The fastest way to connect — just a few clicks:

  • Go to /bots → Settings → click your App
  • Click “Add Source” → select Email → choose your provider
  • Your provider’s sign-in window opens right away → sign in and authorize — done!

If Secure Quick Connect isn’t available yet, you’ll see options to request it or connect with your own OAuth app.

Why is there no manual setup? / Authorization problems
Passwords and app passwords no longer work Microsoft has permanently disabled Basic Authentication (regular passwords AND app passwords) for IMAP/SMTP on Microsoft 365. Third-party apps can only connect via OAuth — there is no manual password setup. You sign in directly with Microsoft; BOTS4.me never sees or stores your password.
1

If Authorization Fails: Ask Your IT Administrator

In business tenants your IT admin controls which apps may access mailboxes. Ask them to:

  • Approve the BOTS4.me app when the Microsoft consent screen requests admin approval
  • Or pre-authorize it in Microsoft Entra (Azure AD) → Enterprise applications
  • Or connect using your organization’s own OAuth app — BOTS4.me supports custom OAuth credentials
Note: BOTS4.me will automatically configure IMAP/SMTP settings for Office 365.

Outlook.com / Hotmail / Live Setup

✓

Recommended: Secure Quick Connect

The fastest way to connect — just a few clicks:

  • Go to /bots → Settings → click your App
  • Click “Add Source” → select Email → choose your provider
  • Click “Connect” → Authorize — done!

If Secure Quick Connect isn’t available yet, you’ll see options to request it or connect with your own OAuth app.

Why is there no manual setup? / Authorization problems
Passwords and app passwords no longer work Since September 2024 Microsoft no longer allows third-party apps to access personal Outlook.com, Hotmail or Live mailboxes with a password or app password. Secure Quick Connect (OAuth) is the only supported way to connect — there is nothing to configure manually. You sign in directly on Microsoft’s own page; BOTS4.me never sees or stores your password.

What You’ll Enter in BOTS4.me

  • Email Address Your @outlook.com, @hotmail.com, or @live.com email
  • Authorization Choose Outlook and approve access in Microsoft’s sign-in window — no password is entered in BOTS4.me
Automatic Setup: Server settings are configured automatically!

✓ Still secure: Zero-disk policy means nothing stored unencrypted

Major services with Secure Quick Connect: Gmail, Outlook / Microsoft 365, Google Drive, OneDrive, Dropbox and Box — no manual setup needed!

1

Generate App-Specific Password

Apple requires app-specific passwords:

  • Go to account.apple.com
  • Sign in with your Apple Account
  • Go to “Sign-In and Security”
  • Click “App-Specific Passwords”
  • Click “+” to generate new password
  • Label: BOTS4.me
  • Copy the password shown
Format: xxxx-xxxx-xxxx-xxxx You can enter with or without dashes

What You’ll Enter in BOTS4.me

  • Email Address Your @icloud.com, @me.com, or @mac.com email
  • Email Password The password from Apple (NOT your Apple Account password)

Exchange Server Setup

1

Get Information from IT Department

Ask your IT administrator for:

  • IMAP and SMTP server addresses and ports (e.g., mail.company.com, 993 / 587)
  • Whether IMAP is enabled for your mailbox
  • Whether you can sign in with your email address — BOTS4.me logs in with the email address, not DOMAIN\username
  • Any special security requirements
2

What to Tell Your IT Team

Say this to your IT administrator:

“I need the IMAP and SMTP settings of our Exchange server for an email integration. Can you provide: – IMAP and SMTP server addresses and ports – Confirmation that IMAP is enabled for my mailbox – Whether we use standard passwords or app passwords”

What You’ll Enter in BOTS4.me

  • Email Address Your corporate email
  • Provider Choose the “IMAP” tile and enter the servers from IT (or click “Detect settings”)
  • Servers & Ports IMAP Server, IMAP Port, SMTP Server, SMTP Port and Security — from IT
  • Password Your mailbox password

Proton Mail Setup

Proton Mail is not currently supported Proton Mail does not offer direct IMAP access — mailboxes can only be reached through Proton Mail Bridge, a program that runs locally on your own computer. Because BOTS4.me processes your email from our secure servers, we cannot reach a Bridge running on your machine, so Proton Mail accounts cannot be connected at this time.

Alternatives

  • Use a supported mailbox for automation Connect a mailbox from a supported provider (e.g. your company domain, Gmail, Microsoft 365) and forward the relevant email traffic to it. Mail2ERP, Supplier2ERP, Pay2ERP and Mail2KNOW also work without any mailbox connection: add the BOTS4.me Mailbox to the app (one click, no password) and forward emails to the app’s address instead, for example mail2erp@bots4.me.
  • Contact us If Proton Mail support is important for your business, let us know — we track demand for new providers

FastMail Setup

Manual Setup (OAuth quick connect is not currently available for this provider)

  • Generated app password
  • Copy both – password won’t be shown again!

What You’ll Enter in BOTS4.me

  • Email Address Your FastMail email
  • App Password The generated password from step 1
Fast & Reliable: FastMail is optimized for third-party apps with excellent IMAP support!

GMX Mail Setup

Manual Setup (GMX does not offer OAuth for email apps)

GMX’s OAuth is limited to selected partner applications, so BOTS4.me connects via IMAP with your password (or app password). Your credentials are encrypted with RSA-2048 the moment you save them, and you can delete the connection anytime in /bots.

Setup Steps
1

Enable IMAP Access

Sign in to gmx.com or gmx.net:

  • Click Settings (gear icon)
  • Go to “POP3/IMAP” section
  • Enable “Access via POP3 and IMAP”
  • Save settings
2

Use Your GMX Password

GMX typically uses your regular password:

  • Use your standard GMX login password
  • For extra security, you can create an app password in Security Settings

What You’ll Enter in BOTS4.me

  • Email Address Your GMX email (@gmx.com, @gmx.net, etc.)
  • Password Your GMX password or app password
Regional Support: Works with all GMX domains (.com, .net, .de, .at)!

Mail.ru Setup

Choose “IMAP” as the provider

Mail.ru is not in the provider list — in BOTS4.me select the generic IMAP provider and use server imap.mail.ru (port 993, SSL) / smtp.mail.ru (port 465, SSL) with the app password from the steps below.

1

Enable External Access

Sign in to mail.ru:

  • Click Settings (gear icon)

  • Save settings
2

Generate App Password

For enhanced security:

  • Go to account settings
  • Find “Security” → “Passwords for external apps”
  • Click “Add password”
  • Name: BOTS4.me
  • Copy the generated password

What You’ll Enter in BOTS4.me

  • Email Address Your @mail.ru email
  • App Password Generated app password
Language Tip: Interface may be in Russian. Look for “Настройки” (Settings) and “Пароли приложений” (App passwords).

Seznam.cz Setup

Manual Setup (Seznam does not offer OAuth for email apps)

BOTS4.me connects to Seznam via IMAP with your password. Your credentials are encrypted with RSA-2048 the moment you save them, and you can delete the connection anytime in /bots.

1

Use Your Password (or an App Password with Two-Step Login)

  • Without two-step verification: your regular Seznam password works for IMAP
  • With two-step verification: create an app password at ucet.seznam.cz → Security (Zabezpečení) → Passwords for applications (Hesla pro aplikace)
  • Name it BOTS4.me and copy the generated password

What You’ll Enter in BOTS4.me

  • Email Address Your @seznam.cz (or @email.cz / @post.cz) address
  • Password Your Seznam password, or the app password if two-step login is enabled
Automatic Setup: Server settings (imap.seznam.cz / smtp.seznam.cz) are configured automatically!

T-Online Setup

Manual Setup (T-Online does not offer OAuth for email apps)

BOTS4.me connects to T-Online via IMAP. Your credentials are encrypted with RSA-2048 the moment you save them, and you can delete the connection anytime in /bots.

Your Telekom login password will NOT work T-Online requires a separate “Passwort für E-Mail-Programme” (password for email programs) for IMAP access — this is the most common connection mistake.
1

Create the Email-Program Password

  • Sign in to the T-Online E-Mail Center (email.t-online.de)
  • Go to Menu → Einstellungen (Settings)
  • Open “Passwort für E-Mail-Programme” (password for email programs)
  • Create the password and copy it

What You’ll Enter in BOTS4.me

  • Email Address Your @t-online.de address
  • Password The email-program password (NOT your Telekom login password)
Automatic Setup: Server settings (secureimap.t-online.de / securesmtp.t-online.de) are configured automatically!

Other Email Providers

1

Find Your Email Settings

Search online for: “[Your Provider] IMAP settings”

Or contact your email provider’s support for:

  • IMAP server address (for receiving mail)
  • IMAP port (usually 993)
  • SMTP server address (for sending mail)
  • SMTP port (usually 587)
  • Security type (TLS/SSL or STARTTLS)
2

Check for App Passwords

Many providers require app-specific passwords:

  • Look in your account security settings
  • Search for “app passwords” or “application passwords”
  • If available, generate one for BOTS4.me

Manual Configuration

In BOTS4.me, you can manually enter:

  • Advanced Settings Choose “Manual Setup”, then fill in the server settings or click “Detect settings”
  • Server Details Enter IMAP and SMTP servers manually
  • Ports & Security Configure ports and TLS/SSL settings
Setting Common Values
IMAP Server imap.[provider].com
IMAP Port 993 (TLS/SSL) or 143 (STARTTLS)
SMTP Server smtp.[provider].com
SMTP Port 587 (STARTTLS) or 465 (TLS/SSL)

Odoo Integration Setup

✓

Recommended: BOTS4.me Connector App for Odoo

The easiest way to connect Odoo — install our connector module directly in your Odoo:

  • Install the BOTS4.me connector app in your Odoo (Apps store)
  • It pairs your Odoo with your BOTS4.me account — no manual credentials to copy
  • Follow the step-by-step Odoo Connector Install Guide

Prefer not to install an app? Use the manual setup below — it works with any Odoo 13+.

Advanced: Manual Setup
1

Find Your Odoo URL

Sign in to your Odoo account:

  • Odoo Online: https://[yourcompany].odoo.com
  • Self-hosted: Your IT team has the URL
  • Copy the full URL from your browser
2

Get Your Database Name

Find your database identifier:

  • Check the URL after logging in
  • Self-hosted Odoo: ask your IT team for the database name
  • Or visit odoo.com/my/databases
  • Example: yourcompany-main-123456
3

Create Integration User (Recommended)

For security, create a dedicated user:

  • Settings → Users & Companies → Users
  • Create new user: “BOTS4.me Integration”
  • Set appropriate access rights
  • Note the email and password
  • Bank statement import (Pay2ERP / AutoERP): this user additionally needs accounting rights — grant Accounting access (Accountant), or on Invoicing-only databases the technical “Basic” accounting group. Without it Odoo refuses statement creation and reconciliation is skipped.
4

Create an API Key (Recommended — Required with 2FA)

Since Odoo 14, an API key is the safest credential for integrations — and mandatory if the user has two-factor authentication enabled:

  • Log in as the integration user
  • Click the user avatar → My Profile (Preferences)
  • Open the Account Security tab → New API Key
  • Name it BOTS4.me and copy the key — use it in place of the password

What You’ll Enter in BOTS4.me

  • Odoo URL Your complete Odoo URL
  • Database Name Your database identifier
  • Username Integration user email
  • Password or API Key The integration user’s API key (recommended) or password

SAP Business One Setup

Connects with a Service Layer User

SAP Business One (version 10.0 or newer, on SQL Server or SAP HANA) is connected through its Service Layer with a user and password — there is no sign-in page. Your password is encrypted with RSA-2048 the moment you save it, and you can delete the connection anytime in /bots.

1

Use a Licensed SAP Business One User

  • Create a dedicated SAP Business One user for BOTS4.me (for example B4M_API) — its documents are then easy to recognise
  • The user needs a licence that allows Service Layer access — ask your SAP partner which licence fits
  • BOTS4.me works with the authorizations of this user: give it the documents of the apps you use (see below)
2

Make the Service Layer Reachable

  • The Service Layer runs on your SAP server (usually port 50000). BOTS4.me connects to it over the internet, so it must be reachable from outside your network — usually through a reverse proxy or your hosting partner
  • Only https addresses work. Private network addresses (for example 192.168.x.x or 10.x.x.x) cannot be used
  • If your firewall lets in only known addresses, ask support@bots4.me for the addresses of our servers
3

Certificate Fingerprint (Only When Asked)

The Service Layer often uses its own certificate, which BOTS4.me cannot verify. The dashboard check then stops before signing in and shows the certificate’s SHA-256 fingerprint. Compare it with the fingerprint on your SAP server and, when they match, paste it into Certificate fingerprint (SHA-256) in the SAP Business One form:

  • Windows: open the Service Layer address in Edge or Chrome on the SAP server, click the icon left of the address → certificate details, and copy the SHA-256 fingerprint (the Windows certificate dialog shows only the SHA-1 thumbprint — that one does not fit)
  • Linux or macOS: run this command on the SAP server or in your network (replace your-server):
openssl s_client -connect your-server:50000 < /dev/null | openssl x509 -noout -fingerprint -sha256

When the certificate is renewed, the fingerprint changes: BOTS4.me then stops before signing in and asks you to confirm the new one.

4

Pay2ERP: the Bank Account

  • Pay2ERP records every payment as an incoming payment in SAP Business One, applied to its invoice, on the G/L account of one of your house bank accounts
  • With more than one house bank account, open the Pay2ERP SAP Business One card and pick the account under Bank account for payments (the list appears after the first check of the connection)

Authorizations per App

  • Mail2ERP Business partners and items (read), sales quotations and sales orders (create), purchase orders (create, for requests for quotation)
  • Supplier2ERP Purchase orders (read, update)
  • Pay2ERP A/R invoices (read), incoming payments (create), house bank accounts (read)
  • AutoCASH A/R invoices, A/R credit memos and business partners (read)
  • AutoERP Sales orders (read, update), deliveries and A/R invoices (create)
  • AutoSTOCK and AutoPURCHASE Items and warehouses (read), purchase orders (create)

AutoERP: the U_B4M_AUTOERP Field

SAP Business One has no order tags, so AutoERP uses a user-defined field instead of the tag names set in the dashboard. Create it once in Tools → Customization Tools → User-Defined Fields – Management → Marketing Documents → Title: field name B4M_AUTOERP (SAP Business One shows it as U_B4M_AUTOERP), type Alphanumeric, size 15 or more, with these valid values:

  • FULL AutoERP processes the whole order
  • PARTIAL Partial deliveries are allowed
  • SMALLOK The whole order is processed even below your small-order limit
  • PARTIAL-SMALLOK Partial deliveries are allowed, even below your small-order limit

Restart the Service Layer after creating the field (or ask your SAP partner to) — until then it does not see the new field. Then set the field on a sales order to hand the order to AutoERP.

Approval Procedures

When approval procedures apply to the BOTS4.me user, SAP Business One saves our documents as drafts. They wait for approval in SAP Business One — BOTS4.me reports them as waiting for approval and never creates them twice. Leave the BOTS4.me user out of the procedures if you do not want this.

AutoSTOCK and AutoPURCHASE: Reorder Rules

SAP Business One never orders from its minimum and maximum stock by itself, so BOTS4.me keeps your minimum and maximum stock rules itself. Only AutoPURCHASE orders from these rules.

Not Possible with the SAP Business One Service Layer

  • E-mails and PDFs The Service Layer cannot send e-mails or print documents — BOTS4.me sends the mails, without SAP Business One’s PDF
  • Bank input SAP Business One cannot be a Pay2ERP bank source
  • Prepayment invoices AutoERP leaves orders that need a down payment for you to handle in SAP Business One

What You’ll Enter in BOTS4.me

  • Service Layer address For example https://your-server:50000 (a reverse-proxy path is fine)
  • Company database As on the SAP Business One login screen (for example SBODEMOUS)
  • User and Password The BOTS4.me user — when you change the server address or company database, enter the password again
  • Certificate fingerprint (SHA-256) Only when the dashboard check asks for it
  • Bank account for payments Pay2ERP only

QuickBooks Online – Secure Quick Connect (OAuth)

✓ Sign in with QuickBooks – no passwords or API keys are stored. QuickBooks Online only — QuickBooks Desktop has no cloud API and cannot be connected.

1

Go to /bots → Settings

  • Navigate to /bots
  • Click Settings
  • Select the application you want to configure
  • Click Add Destination or Add Source (the app shows the right one)
  • Choose the QuickBooks tile and click Sign in with QuickBooks
2

Sign In and Pick Your Company

  • Sign in with an admin user of your QuickBooks Online company
  • If your login has several companies, QuickBooks asks which one to connect — one sign-in connects one company
  • Click Connect. BOTS4.me reads the company’s name, country and plan by itself and shows them on the QuickBooks card
  • To use another company, sign in again and pick it. A reconnect of an existing card must choose the same company
3

Pay2ERP: the Bank Account

  • Open the Pay2ERP QuickBooks card and pick the bank account under Bank account for payments, then click Save
  • Pay2ERP records every payment in QuickBooks against its open invoice and deposits it to this account
  • With exactly one bank account in QuickBooks you do not need to pick it

What the Apps Need in QuickBooks

  • Mail2ERP Creates estimates. A customer order becomes an estimate marked as an order — Mail2ERP never accepts it: you review it and mark it Accepted in QuickBooks.
  • Purchase orders and inventory Supplier2ERP, AutoSTOCK, AutoPURCHASE and the requests for quotation of Mail2ERP need QuickBooks Online Plus or Advanced.
  • AutoERP Invoices every estimate you mark Accepted in QuickBooks. QuickBooks has no order tags, so the tag names of the dashboard do not apply: accepting the estimate is your go-ahead. Estimates accepted before AutoERP first ran are left as they are.
  • AutoCASH Reads the open invoices and credits and sends the reminders itself.
  • AutoSTOCK and AutoPURCHASE QuickBooks items have no minimum and maximum stock, so BOTS4.me keeps your reorder rules itself; the reorder point of your items is not used.

Not Possible with QuickBooks Online’s API

  • Deliveries QuickBooks has no delivery documents — AutoERP invoices the accepted estimate directly
  • Prepayment invoices AutoERP leaves orders that need a prepayment for you to handle in QuickBooks
  • Bank input QuickBooks cannot be a Pay2ERP bank source — its API has no bank statements
API limits: QuickBooks limits the number of API calls per company. BOTS4.me reads each list once per run and waits when QuickBooks asks it to slow down.

  • AutoSTOCK and AutoPURCHASE Use your tracked inventory items. Xero has no reorder fields, so BOTS4.me keeps your minimum and maximum stock rules itself.

Not Possible with Xero’s API

  • Deliveries Xero has no delivery documents — AutoERP invoices the accepted quote directly
  • Prepayment invoices AutoERP leaves orders that need a prepayment for you to handle in Xero
  • Bank input Xero cannot be a Pay2ERP bank source — its API has no bank statements
API limits: Xero limits API calls per organisation per minute and per day. BOTS4.me shares that limit with your other Xero apps, slows down when Xero asks it to and continues the next day when the daily limit is reached.
Demo Company: Xero’s Demo Company works for trying BOTS4.me out. Xero resets it from time to time — then sign in again — and sends no e-mails from it.

Dynamics 365 Business Central – Secure Quick Connect (OAuth)

✓ Sign in with Microsoft – no passwords or API keys are stored. Business Central online only.

1

Use a Licensed Business Central User

  • Sign in with a Microsoft work account that has a Business Central licence
  • BOTS4.me works with that user’s permissions — give the user the permission sets of the apps you use (see below)
2

Go to /bots → Settings

  • Navigate to /bots
  • Click Settings
  • Select the application you want to configure
  • Click Add Destination or Add Source (the app shows the right one)
  • Choose the Dynamics 365 Business Central tile and click Sign in with Microsoft
3

If Microsoft Asks for an Administrator

  • Many organisations let only an administrator approve new apps. Microsoft then says that an administrator must approve BOTS4.me
  • Click Ask your Microsoft admin in the Business Central form and send that link to your Microsoft 365 administrator (for example a Global Administrator or Cloud Application Administrator)
  • The administrator opens the link, signs in and accepts — one approval covers everyone in your organisation. Then sign in again in the dashboard
4

Accountants and Guest Users

  • If your login belongs to another organisation (you work in your client’s Business Central as a guest or accountant), type your client’s domain (for example contoso.com) or tenant ID into Tenant (domain or ID) before you sign in
  • For your own company leave this field empty
5

Environment and Company

  • BOTS4.me finds your environments (production and sandboxes) and their companies by itself
  • With exactly one company it is picked for you. Otherwise open the Business Central card, pick the environment and company and click Save — the apps start once one is picked
  • If BOTS4.me cannot list your environments, type the environment name as it appears in your Business Central web address (for example Production) and sign in again
6

Pay2ERP: the Payment Journal Batch

  • In Business Central open Cash Receipt Journals and create a batch (for example BOTS4ME) whose balancing account is your bank account
  • In the Pay2ERP Business Central card pick that batch under Payment journal batch
  • Pay2ERP writes every payment into this batch, applied to its invoice. The payments wait there until the batch is posted — post it in Business Central

Permission Sets per App

  • Mail2ERP Customers, contacts and items (read), sales quotes and sales orders (create), purchase orders (create, for requests for quotation)
  • Supplier2ERP Purchase orders (read, edit)
  • Pay2ERP Sales invoices (read), payment journals (edit)
  • AutoCASH Sales invoices, credit memos and bank accounts (read)
  • AutoERP Sales orders (edit, post), dimensions (read)
  • AutoSTOCK and AutoPURCHASE Item ledger entries (read), purchase orders (create)
  • All apps The standard permission set D365 BUS FULL ACCESS covers all of them

AutoERP: the BOTS4ME Dimension

Business Central has no order tags, so AutoERP uses a dimension instead of the tag names set in the dashboard. In Business Central open Dimensions and create the dimension BOTS4ME with these four values (an order carries one of them):

  • FULL AutoERP processes the whole order
  • PARTIAL Partial deliveries are allowed
  • SMALLOK The whole order is processed even below your small-order limit
  • PARTIAL-SMALLOK Partial deliveries are allowed, even below your small-order limit

Set the dimension on the sales order to hand it to AutoERP. Like every dimension, the value also flows into the G/L entries of the posted documents.

AutoSTOCK and AutoPURCHASE: Reorder Rules

Business Central’s API has no reorder fields, so BOTS4.me keeps your minimum and maximum stock rules itself. Only AutoPURCHASE orders from these rules. If Business Central’s planning worksheet also orders from the reorder fields of your item cards, use one of the two — otherwise the same items are ordered twice.

Not Possible with Business Central’s API

  • Bank input Business Central cannot be a Pay2ERP bank source — its API has no bank statements
  • Prepayment invoices AutoERP leaves orders that need a prepayment for you to handle in Business Central
  • Item references Products are matched by item number and GTIN only
  • Delivery without invoice AutoERP ships without invoicing only after this is verified with Business Central; until then it leaves such orders for you
  • Czech Variable Symbol The Czech localisation’s Variable Symbol is not in the API — Pay2ERP matches payments by the digits of the invoice number and the external document number
API limits: Business Central limits the number of API calls per user. BOTS4.me spreads its calls and waits when Business Central asks it to slow down; the limit is shared with your other integrations that use the same user.

Zoho Books / Inventory – Secure Quick Connect (OAuth)

✓ OAuth 2.0 – No passwords needed!

1

Go to /bots → Settings

  • Navigate to /bots
  • Click Settings
  • Select the application you want to configure
2

Add the Zoho Connection

  • Click Add Destination or Add Source (the app shows the right one)
  • Choose the Zoho Books / Inventory tile
  • Click Connect Zoho
3

Connect with OAuth

  • Zoho’s sign-in window opens right away
  • Sign in with your Zoho credentials
  • Click Accept to grant access
  • BOTS4.me finds your Zoho data centre and your organisation by itself
4

Pick Your Organisation (Only If You Have Several)

  • When your Zoho login has more than one organisation, open the Zoho card in the dashboard and pick the organisation BOTS4.me should work in
  • Click Save organisation — the apps start once an organisation is picked

What the Apps Need in Zoho

  • Sales and purchase orders Zoho Books Professional or higher, or Zoho Inventory. Without them, Mail2ERP records customer orders as estimates.
  • Stock and deliveries AutoSTOCK, AutoPURCHASE and AutoERP deliveries need Zoho Inventory in the same organisation.
  • AutoERP Choose an option of the reporting tag BOTS4.me on a sales order (Full or Partial) to hand it to AutoERP. AutoERP creates the tag on its first live run.
  • Optional: duplicate protection Add a text custom field named BOTS4.me ID to estimates, sales orders and purchase orders — BOTS4.me then marks every document it creates.
API limits: Zoho limits API calls per organisation per day. BOTS4.me shares that limit with your other Zoho integrations and pauses until Zoho allows calls again when it is reached.
Multi-Region: Works with all Zoho data centers (.com, .eu, .in, etc.)

ERPNext / Frappe Setup

Connects with API Key + API Secret

ERPNext is connected through the Frappe REST API using an API key pair generated for a user — no OAuth app is needed. Your credentials are encrypted with RSA-2048 the moment you save them.

1

Create an Integration User (Recommended)

  • In ERPNext go to Users → create user “BOTS4.me Integration”
  • Give it these roles: Sales User, Purchase User, Stock User, Accounts User, Sales Master Manager and Purchase Master Manager (without the two Master Manager roles ERPNext hides prices from the API)
2

Generate API Key & Secret

  • Open the user → Settings tab → API Access
  • Click “Generate Keys”
  • Copy the API Secret shown once, and the API Key from the field

What You’ll Enter in BOTS4.me

  • ERPNext Instance URL Your ERPNext URL (e.g. https://yourcompany.erpnext.com)
  • API Key From the integration user’s API Access
  • API Secret Shown once when generating keys

Dolibarr Setup

Connects with an API Key

Dolibarr (version 23 or newer, self-hosted or DoliCloud) is connected through its REST API with the API key of a Dolibarr user — no OAuth app is needed. Your key is encrypted with RSA-2048 the moment you save it.

1

Enable the REST API

  • In Dolibarr go to Home → Setup → Modules/Applications
  • Enable API REST (server) (in the “Multi-modules tools” or “Interfaces with external systems” group)
2

Create an Integration User (Recommended)

  • Go to Users & Groups → create user “BOTS4.me Integration”
  • On its Permissions tab give it the rights of the apps you use: Mail2ERP — third parties, products, commercial proposals, sales orders; Supplier2ERP and AutoPURCHASE — purchase orders (read, create, validate, approve, order); Pay2ERP and AutoCASH — customer invoices, payments, banks; AutoERP — sales orders, shipments, customer invoices, stock; AutoSTOCK — stock, products
  • Every app also needs: Banks — read (your currency and country) and Users — read own user card
  • Making the user an administrator is optional: it only lets AutoERP create its order field by itself (see step 4)
3

Generate the API Key

  • Open the user card → Modify → field API key → click the generate icon → Save
  • Copy the key — BOTS4.me asks for it again whenever you change this connection
4

AutoERP only: the “BOTS4.me tags” order field

Dolibarr does not let other programs read the tags of a sales order, so AutoERP uses an order field instead. When the integration user is an administrator, AutoERP adds it by itself. Otherwise add it once by hand:

  • Setup → Modules → Sales Orders (gear icon) → Complementary attributes → New attribute
  • Label BOTS4.me tags, attribute code b4mtags, type String (1 line), length 255, “Always editable” on
  • To send an order through AutoERP, type the AutoERP tag (for example AutoERP) into this field on the order — AutoERP adds its own progress tags to the same field

What You’ll Enter in BOTS4.me

  • Dolibarr site URL The address you open Dolibarr with (e.g. https://erp.yourcompany.com)
  • API Key From the integration user’s card
  • Entity Only with the Multicompany module: the number of the company BOTS4.me works in

SugarCRM Setup

Create an Integration User (Recommended)

  • Admin → User Management → create user “BOTS4.me Integration”
  • Give it access to the modules your workflow needs (Accounts, Contacts, Opportunities, Quotes)
2

Register the API Platform (If Required)

Newer SugarCRM versions only accept API logins from registered platforms:

  • Admin → Configure API Platforms
  • Add the platform identifier: t_integration

What You’ll Enter in BOTS4.me

  • SugarCRM Instance URL Your instance URL (e.g. https://yourcompany.sugarondemand.com)

What You’ll Enter in BOTS4.me

  • Data Center Your Zoho region (.com, .eu, .in, .com.au)
  • Client ID & Client Secret From your Self Client
  • Refresh Token / Generated Code From step 2

Used by AutoGEO to optimise your website and shop

AutoGEO connects with a WordPress Application Password: a separate password for one app, which you can revoke at any time without changing your own login. BOTS4.me stores it encrypted with RSA-2048. You need a WordPress administrator account and a site on https. Demo Mode needs no connection at all — only your website address.

1

Easiest: Install the Free B4M_AutoGEO Plugin

  • Download the plugin from your dashboard at /bots and upload it under Plugins → Add New Plugin → Upload Plugin, then click Activate
  • Open BOTS4.me → AutoGEO in the wp-admin menu and sign in with your BOTS4.me account
  • Click Connect — the plugin creates the Application Password itself and registers your site. Done!
2

Or by Hand: Create an Application Password

  • In WordPress go to Users → Profile (logged in as an administrator)
  • Scroll to Application Passwords, enter the name BOTS4.me AutoGEO and click “Add New Application Password”
  • Copy the password right away — WordPress shows it only once
3

Add the Connection in BOTS4.me

  • Go to /bots → Settings → click AutoGEO
  • Click “Add Source” → select API → choose WordPress
  • Enter your site URL (https://…), your WordPress username and the Application Password, then save — AutoGEO tests the connection right away
Keep the plugin active: meta tags in Yoast SEO, Rank Math or SEOPress, answer blocks, llms.txt, schema, AI-crawler rules and redirects are served by the free plugin. Shopify and other websites: coming soon.

Ready to Connect?

Head to your dashboard to connect your apps, or reach out for free setup assistance.

Safe by design: every app starts in Demo Mode — after you connect, its first run is always a demo that emails you exactly what it would have done, without changing anything. Going live unlocks on the Control tab of your /bots dashboard only after that first demo report, so nothing is ever written without your informed consent. More about Demo Mode →
