AutoSPACE gives you more room for your memories and your mail. It finds the biggest mails in your mailbox and puts them into one folder, so you can delete them in one go. It shrinks the photos, videos and documents in Google Drive, OneDrive or your own server to about half the size. They look the same, open the same and keep their names, dates and places. How It Works

Part 1 — Your mailbox

It finds the biggest mails

AutoSPACE looks for the biggest mails, whatever their age — 5 MB and up by default, and you can change that. It looks in the inbox, Sent, the archive and your own folders.

One folder to review

It moves them into one folder, _AutoSPACE/BIG_MAIL. You look through it and delete what you don’t need in one go. AutoSPACE never deletes a mail.

Or keep the mail, lose the weight

Want to keep a mail? Its big attachments can be saved to your own cloud, and the mail stays where it was with a link to each file. That is “Save big attachments to my cloud”, from the Team plan.

Starred and flagged mail is never moved, and neither is mail from the last 7 days. Changed your mind? “Back to where it was” is one click.

Part 2 — Your files

Google Drive: you pick

Press Choose files to shrink on BOTS4.me/bots, or use Open with → AutoSPACE in drive.google.com. Each file is shrunk where it is, so it keeps its place and its share link.

OneDrive: hands-off

Move files into the app folder Apps → BOTS4.me → AutoSPACE. Everything in it is handled on every run, nothing else on your OneDrive.

Your server or NAS: hands-off

Over SFTP, AutoSPACE works only in the one folder you name. Everything you put there is handled on every run.

It works at night in daily portions, biggest wins first, and a report tells you what was freed.

Safe by Design

You see everything first, and everything can be put back.

First a DEMO mail: what we would do and how much space it would free. Nothing changes.
Originals kept: by default every shrunk file’s original waits 30 days in ORIGINALS and comes back with one click.
Big mails only move: “Back to where it was” is one click.
Every result checked before it replaces anything: it opens, has the same pixels, length or pages, keeps EXIF, GPS and dates, and is at least 20 % smaller.
Never deletes: you empty BIG_MAIL yourself. Originals go to your storage’s bin after 30 days by default, or at once when you press “Free the space now”; on SFTP / NAS they stay until you press it.
Private while it works: one file at a time in a private temporary folder, wiped right after.

Your plan is counted by size: every started 10 MB of the original file, the mail moved or the attachments saved. Skipped, failed or no-gain items, undo and the DEMO are never counted. A free plan will cover 3 GB a month for big mails, photos, PDFs and pictures inside Office files.

The Details

What AutoSPACE does to each kind of file, for those who like to know.

Photos

JPEG photos are re-saved smarter and stay JPEG. HEIC is the “Smallest” option, if you choose it. PNG, TIFF and BMP become JPEG or HEIC.

Videos

Re-encoded to H.265 (HEVC) at the same resolution, with an optional limit to 1080p. From the Team plan.

PDFs

Images inside are brought down to 300 dpi, sharp enough to print. Text stays text.

Office files

Big pictures inside are re-saved. Old doc, xls and ppt files become docx, xlsx and pptx (you can switch that off).

Exact duplicates

Optional, from the Team plan: exact copies are set aside in a DUPLICATES folder and kept like the originals.

Mailboxes and storages

Gmail and any IMAP mailbox. Google Drive, OneDrive and SFTP (your own server or NAS) at launch, Dropbox next.

No AI

AutoSPACE works without AI, in every mode and on every plan. It follows fixed rules, and nothing is sent to an AI provider.

Your settings

Choose the size of a big mail, how strongly photos, documents and videos are saved, how long originals are kept and how often you get a report.

What AutoSPACE Never Touches

AutoSPACE works only on the files you pick or put in its folder, and only on files it can shrink safely.

  • 🚫 Files shared with others or not owned by you, and Google Docs and Sheets.
  • 🚫 Other apps’ folders, such as your Mail2CLOUD backups, and code or website folders.
  • 🚫 RAW photos, GIF, WebP and AVIF, transparent or animated pictures, and Live Photo clips.
  • 🚫 Signed, fillable or password-protected PDFs, and Office files with macros or passwords.
  • 🚫 Archives and installers, and files under 500 KB or over 4 GB.
  • 🚫 In the mailbox: starred or flagged mail, the last 7 days, Trash, Spam, Drafts and other apps’ folders.

Mailbox

On BOTS4.me/bots, connect Gmail with Google sign-in, or any other mailbox with its normal login (IMAP).

Google Drive

Connect Google Drive, then press Choose files to shrink and pick files in Google’s window, or use Open with → AutoSPACE in drive.google.com.

OneDrive

Connect OneDrive with Microsoft sign-in, then move files into Apps → BOTS4.me → AutoSPACE.

SFTP / NAS

Add your server and fill in Folder to shrink (default /AutoSPACE). Only that folder is handled.

You need at least one: a mailbox, a storage, or both. Already using Mail2CLOUD? The same connections work for AutoSPACE.

Questions and Honest Answers

Can AutoSPACE shrink my Google Photos or iCloud Photos?
No. Google Photos and iCloud Photos can’t be reached by AutoSPACE. For Google Photos, switch on Google’s own “Storage saver” setting in Google Photos. AutoSPACE works on Google Drive, OneDrive, your own server and your mailbox.
Why do I have to pick the files on Google Drive?
Because we ask Google for the smallest permission: we only see the files you pick, nothing else in your Drive. New files need a new pick, and if you haven’t picked anything for a month, we send you a short reminder. On OneDrive and on your own server it is hands-off: everything in the AutoSPACE folder is handled.
When do I actually get the space back?
When you empty ORIGINALS and BIG_MAIL (and then the bin of Gmail, Drive or OneDrive). AutoSPACE never deletes, so the space shows up when you decide. Originals go to the bin by themselves after 30 days by default, with a reminder 7 days before, and “Free the space now” does it at once.
Will my old Excel and Word files still work?
Yes, they open as before in the newer format (xls becomes xlsx, doc becomes docx). The share link on Drive or OneDrive stays the same. One honest limit: a link to an old xls file from inside another document can break. You can switch “Old Office files → new” off.
Will my photos turn into HEIC?
Only if you choose it. By default a JPEG stays a JPEG, so it opens everywhere. HEIC is the “Smallest” option you can switch on.
Does it shrink videos?
Yes, from the Team plan: same resolution, about half the size, with an optional limit to 1080p. Videos are done at night, a little each night.
What if a file does not get smaller?
Then it stays as it is. A result replaces your file only if it opens, looks the same and is at least 20 % smaller. Nothing is charged for a file that did not get smaller.
Is my mail deleted when it moves to BIG_MAIL?
No. It only moves to one folder in your own mailbox, and “Back to where it was” returns it with one click. If you move a mail out yourself, AutoSPACE remembers and never moves it again.
