ClientFACTORY

User Guide

ClientFACTORY is your AI-powered B2B client acquisition machine. You describe YOUR product, the AI writes YOUR email templates, discovers relevant business leads, and runs cold-email campaigns under YOUR identity — with unsubscribe handling, bounce management, and sending warm-up built in. Input: your product description. Output: new business conversations in your inbox.

What ClientFACTORY Is

ClientFACTORY is an automated B2B lead generation and cold-email outreach service. You fill in your company identity and product description once. From that, the AI generates a professional 3-step email sequence in every language you target, generates web search queries to find businesses that would benefit from your product, discovers and verifies their contact details, and sends the campaign — from your own sending account, signed with your company name, website, and postal address. Everything runs automatically on schedule.

Your Inbox
  • Your product, your brand — campaigns promote what YOU sell, written from YOUR description, sent under YOUR name
  • AI copywriting — a 3-step sequence (intro / value / follow-up) generated per target language
  • AI lead discovery — search queries, relevance scoring, and contact-page crawling find businesses that match your niche
  • Deliverability built in — one-click unsubscribe, automatic bounce handling, suppression lists, sending warm-up
  • Safe start — Demo Mode sends preview emails to YOU, never to prospects, until you go live

Getting Started — Setup Walkthrough

  1. Start your free Discovery month on the ClientFACTORY product page — want help? Tell us what you need and we set it up together with you
  2. Open the ClientFACTORY tab at BOTS4.me/bots
  3. Fill in the campaign settings (Control → ClientFACTORY): company name, website, postal address, product name, product description, target market, target languages, target countries, privacy policy page and Send from — see the next section for what each one does
  4. Connect your own mailbox in the Access Manager — with a password, or with Gmail / Microsoft 365 sign-in. Strongly recommended: an address on your own domain — prospects see your brand, replies come back to you, and your deliverability stays in your hands. Prefer not to? Set Send from to the BOTS4.me mailbox instead
  5. Review the demo mail — while Demo Mode is ON, ClientFACTORY emails YOUR address a list of up to 20 companies it would contact, with the text of the first email, so you can check targets and copy before any prospect sees them
  6. Turn off Demo Mode in the Control panel when you are happy — the campaign goes live and starts warming up

Important: Campaigns will NOT send anything — not even demo previews of your copy — until your product info is filled in. If it’s missing, the dashboard shows a clear message (“ClientFACTORY is paused — fill in your product info…”) and you receive a short onboarding email explaining exactly what to complete. Nothing generic ever goes out under your name.

Your Campaign Settings

These fields ARE your campaign. The AI writes your email templates and your lead-discovery search queries from them — the better you fill them in, the better your results.

1. Company name
Your company name — appears as the sender identity in every campaign email.
2. Company website
Your website URL — used in email signatures and as context for AI template generation.
3. Postal address
Your physical postal address — legally required in commercial emails in many countries (for example under CAN-SPAM in the US). ClientFACTORY puts it in every footer automatically.
4. Product name
The product or service your campaigns promote — short and recognizable.
5. Product description
The most important field. Describe what you sell, who it helps, and the concrete value it delivers. The AI writes your email templates AND your search queries from this text — write it well. Vague description = vague emails and vague leads.
6. Target market
Industries, niches, keywords, regions — tells the AI where to hunt for leads and which pain points to open with.
7. Target languages
Comma-separated language codes (e.g. en, de, sk). Templates are written in each language; a prospect gets the language of their country when it is on your list.
8. Target countries
Country codes or English names (e.g. SK, CZ). Discovery searches in these countries, in each country’s language, and drops contacts from other countries. Empty = your own country.
9. Privacy policy page
A link to your privacy policy. Every campaign email shows it next to the note on why the recipient gets the email and where the address was found.
10. Send from
My own mailbox (recommended): emails go out from the mailbox you connect in Access Manager, replies come back to you, and follow-ups stop when a prospect answers. BOTS4.me mailbox: emails go out from our shared mailbox as “your company via BOTS4.me” and replies go to your own address. Without your own mailbox connected, only the first email is sent — no follow-ups, because ClientFACTORY cannot see the replies.

Tip for field 5: One or two sentences on WHAT it is, one on WHO it’s for, one on the single most compelling RESULT. Example: “AutoBooks is a bookkeeping automation tool for small e-commerce shops. It imports orders from all major platforms and prepares tax-ready reports automatically, saving owners around 10 hours a month.”

Understanding the Dashboard

The ClientFACTORY tab at BOTS4.me/bots uses the same three-panel layout as all BOTS4.me products.

Control
Bot Power (on/off), Demo Mode, AI Mode (how much AI-powered discovery runs — higher modes need higher tiers), Operating Hours, and the Regenerate buttons for templates and translations. Also shows the contact intake address.
Features
Toggle capabilities: Email Campaigns (switching it off stops all sending), Contact Page Discovery, Bounce Management, AI Search, Directory Crawling, and more. Features above your tier show as locked.
Statistics
Total and monthly contacts, emails sent, pages crawled, contacts discovered, bounced, unsubscribed, and AI tokens used.

The ClientFACTORY panel under Control holds the campaign settings; the Settings tab (gear icon) is where you connect your sending account (Access Manager). The Logs tab shows what ClientFACTORY did on each run — discovery results, sends, and any reasons the campaign is paused.

How Templates Work

ClientFACTORY does not use canned copy. For every language you target, the AI writes a fresh 3-step outreach sequence from your product description — plain, peer-to-peer tone, no buzzwords, no hype.

STEP 1

Intro

First touch. Opens with the pain point your target market most likely has, introduces your product in one plain sentence, one concrete benefit, soft call to action.

STEP 2

Value

Sent about a week later if there was no reply. Leads with the strongest concrete outcome your product delivers, a proof-style example, and a clear call to action.

STEP 3

Follow-up

The final note, another week later. One short paragraph, no pressure — recaps the single most compelling reason to take a look, makes clear it’s the last email, ends warmly.

  • Per language: each language in your Target languages setting gets its own natively-written set — not a machine translation of English
  • Auto-refresh: templates are regenerated automatically whenever your product info changes
  • Manual refresh: edit your product description, then press Regenerate Templates on the dashboard — the next run writes a fresh set
  • Footer added for you: your signature, website, postal address, the unsubscribe link, a note on why the recipient gets the email and where the address was found, and your privacy page link are appended automatically — the AI only writes the message body

How Lead Discovery Works

AI-generated search queries

From your product description and target market, the AI generates web search queries for your target countries, each in its language — the kind of searches that surface businesses which would benefit from your product. With AI Search (Family and up), the AI writes a dedicated set of searches for each target country: local names of company types, industry directories, trade-fair exhibitor lists.

Relevance scoring

Every search result is scored by AI for how well it matches your product and niche. Only high-scoring prospects proceed — you don’t burn sending capacity on poor fits.

Contact discovery

ClientFACTORY visits promising company websites, finds their contact pages, and extracts business contact details. It keeps only business addresses on domains that accept mail (free-mail addresses are dropped), drops contacts from countries outside your targets, and keeps one contact per company. At higher tiers it also deep-crawls business directories and exhibitor lists, and searches with multiple engines for broader coverage.

Multi-language, multiple search sources

With autonomous discovery (Personal and up), the whole loop — generate queries, search, score, crawl, extract — runs by itself on every run, for your first target country. With multi-language search (Family and up), discovery runs in every target country you list, each in its language. With Multi-Engine Search (Business and up), discovery queries multiple search sources for broader coverage. Discovery searches DuckDuckGo first and Brave Search when needed, and your plan sets a daily number of searches. Each new verified contact found uses part of your monthly allowance.

Bring your own contacts

You can also feed ClientFACTORY your own lists: email them as .txt, .csv, .xlsx, or .zip attachments to clientfactory@bots4.me — sent from your registered account email (messages from other addresses are ignored for your safety). The contacts are imported into your campaign on the next run.

Deliverability & Safeguards

Cold email is legal in many jurisdictions when done right. ClientFACTORY automates the technical side of “done right” — and tells you plainly what remains your responsibility.

What ClientFACTORY does automatically

  • One-click unsubscribe in every email: every message carries an unsubscribe link. Opt-outs are honored immediately and synced on every run
  • Automatic bounce handling: permanent delivery failures mark the contact as bounced and stop further emails to it
  • Campaign auto-halt on high bounce rates: if too many of your emails over the last 7 days bounce, sending halts automatically and you are alerted — protecting your domain reputation. It resumes by itself after 7 days without sending, starting again at the warm-up volume
  • Suppression lists: unsubscribed and bounced addresses are permanently excluded from all future sends
  • Sending warm-up: new campaigns start at a low daily volume that depends on your plan and grow by the same amount each week, up to your plan’s daily limit, so mail providers learn to trust your sending pattern
  • Your postal address in every footer: the postal address you configure is added to every email, as CAN-SPAM requires and as many national rules expect
  • Weekdays and business hours: prospect emails go out Monday to Friday only, during the recipient’s local business hours
  • Replies stop the sequence: one contact per company, and any reply stops the follow-ups to that company. Out-of-office replies don’t; a “remove me” reply puts the address on your suppression list
  • Why-you-get-this note: every email says why the recipient gets it and where the address was found, with your privacy page link (GDPR Art. 14)
  • Data retention: contacts are deleted 24 months after the last activity; a fingerprint keeps opted-out addresses blocked. A contact can ask to be erased at any time
  • No cold email to Germany or Austria: prior consent is required there, so recipients in those countries are skipped automatically

Your responsibilities

  • Use your own sending domain: connect a sending account on a domain you own — ideally a dedicated one — so reputation and replies belong to you
  • Add your privacy policy page in the campaign settings, so every email links to it
  • Set up SPF, DKIM, and DMARC on that domain before going live — without them, cold email lands in spam no matter how good the copy is
  • Contact business addresses only: discovery keeps business addresses only; keep the lists you upload the same way
  • Respect local e-privacy laws: some jurisdictions require prior consent even for B2B cold email — check the rules for the countries you target before enabling those languages/markets

Rule of thumb: if you wouldn’t put the sentence in a letter with your company letterhead and postal address on it — don’t put it in a cold email either. ClientFACTORY adds the letterhead; you own the conduct.

Tiers & Credits

Tiers are cumulative — each one includes everything below it.

Free
AI-written templates, Demo Mode, all campaign settings and your own contact lists. A small monthly allowance. No automatic lead discovery.
Personal
Email campaigns, bounce management, contact page discovery, all campaign settings, and autonomous lead discovery with AI search queries and relevance scoring (your first target country). Daily caps: 20 emails, 20 web searches.
Family
+ AI Search (the AI writes the searches for each target country, in its language), multi-language search in every target country you list. Daily caps: 100 emails, 60 web searches.
Business
+ multiple search sources on every search, directory crawling, premium AI mode, white label (your brand only). Daily caps: 200 emails, 150 web searches.
Enterprise
+ Contact CSV export of your discovered contact database. No daily sending limit from the plan (warm-up still applies). 400 web searches per day.

Usage: every email sent and every new verified contact found (a business address on a domain that accepts mail) uses part of your plan’s monthly allowance, and the AI work (AI Search, finding contacts, writing your emails) uses more. Contacts from your own lists are not charged. The allowance is checked before sending — when it is used up, sending and discovery pause until the next month, an upgrade or extra usage. The free plan works the same way with a small monthly allowance. Demo Mode is available on every tier: nothing is sent to prospects, so no sending usage is counted while you evaluate the copy.

Frequently Asked Questions

Why is my campaign paused?

The reason is always shown in the dashboard Logs. The common ones: (1) Product info missing — fill in at least your product name, description, and target market in the ClientFACTORY panel (Control tab); nothing sends without them. (2) No sending mailbox — connect your own mailbox in the Access Manager, or set Send from to the BOTS4.me mailbox; without one, nothing is sent. (3) Monthly allowance used up — sending and discovery pause until the next month, an upgrade or extra usage (the free plan works the same way). (4) Email Campaigns switched off — this switch in Features stops all sending. (5) Bounce-rate halt — the automatic safety stop triggered; review your contact quality and sending domain setup — sending resumes by itself after 7 days. Also note: no prospect email goes out at weekends.

How do I change my email templates?

Edit your product description (and any other campaign settings) in the ClientFACTORY panel (Control tab), then press Regenerate Templates on the dashboard. The next run writes a fresh sequence from the new text. Templates also regenerate automatically whenever your product info changes.

How do contacts get into my campaign?

Two ways: automatic discovery (AI search queries per target country, relevance scoring, contact-page and directory crawling — scope depends on your tier), and the contact intake inbox — email your own lists as .txt/.csv/.xlsx/.zip attachments to clientfactory@bots4.me from your registered account email.

How are unsubscribes handled?

Every email contains a one-click unsubscribe link. When a recipient clicks it, the address goes on your suppression list immediately and permanently — it is never emailed again, and unsubscribe lists are re-synced on every run. Your deliverability report shows new unsubscribes and bounces after each run.

What happens when a prospect replies?

The reply lands in your own inbox and the sequence to that company stops. Out-of-office replies don’t stop it; a “remove me” reply puts the address on your suppression list. Every other reply becomes a lead in your CRM: the company and the contact, with the reply as an internal note — the CRM emails nobody. This is live on Odoo today; any other ERP or CRM with an API is connected on request — tell us yours. If no ERP is connected to ClientFACTORY yet, the replies are kept and pushed once you connect it.

What exactly happens in Demo Mode?

At most once a day, ClientFACTORY sends ONE demo mail to your own registered address: a list of up to 20 companies it would contact (company, address, where it was found, language) and the full text of the first email, as the first company would receive it. Each newly written template is also previewed to you once. Nothing reaches a prospect, and contacts are not marked as contacted, so your pipeline stays fresh for the moment you go live.

Why is my daily send volume so low at the start?

That’s the warm-up. New campaigns deliberately start at a low daily volume and increase gradually, so mail providers build trust in your sending domain. Your tier’s daily cap is the ceiling; warm-up controls the ramp toward it.

Do I have to use my own email account?

We recommend it. Connect a mailbox on your own domain in the Access Manager (password, or Gmail / Microsoft 365 sign-in) — prospects then see your brand end to end, replies land directly in your inbox, and follow-ups stop as soon as someone answers. Set up SPF/DKIM/DMARC on the domain before going live. The alternative is Send from: BOTS4.me mailbox — emails go out as “your company via BOTS4.me” and replies go to your own address; without your own mailbox connected, only the first email is sent, because ClientFACTORY cannot see the replies.

How do I get started, and what does it cost to run?

Start your free Discovery month on the product page — or ask us and we set it up together with you. Then fill in your business profile in the dashboard at BOTS4.me/bots: company name, website, postal address, product name, product description, and target market. The AI writes your email templates from that description and sends demo previews to your own inbox. When you’re happy, set Mode to LIVE and campaigns start running. Every email sent and every new verified contact found uses part of your monthly allowance (the AI work uses more), and the allowance is checked before anything is sent. Plans and what each includes are on the product page.

What AI features are included?

Every tier gets AI-written templates: a 3-step sequence (intro / value / follow-up) generated from your product description, in every target language you pick, and regenerated automatically when your description changes. From Personal, autonomous discovery runs by itself: AI search queries, relevance scoring, AI-powered crawling and contact-page discovery. Family adds AI Search (the AI writes the searches for each target country) and multi-language search. Business adds premium AI, directory crawling and multiple search sources, plus white-label. Enterprise also unlocks contact export (CSV) and has no daily sending limit from the plan.

Can I use my own branding?

Yes. Every campaign is sent under your company name — from your own mailbox, or as “your company via BOTS4.me” if you choose the BOTS4.me mailbox — with your email signature and your postal address in the footer. Add your email account via /bots → Settings → Email Providers. On Business tier and above, white-label removes the small “Powered by ClientFACTORY” line too — your outreach looks entirely in-house.

Is this legal? What safeguards are built in?

ClientFACTORY is built for responsible B2B outreach, with safeguards built in. Every email carries RFC 8058 one-click unsubscribe headers and an unsubscribe link, your postal address in the footer (required by CAN-SPAM), and unsubscribes go straight to a suppression list that is never contacted again. Every email also says why the recipient gets it and where the address was found, with a link to your privacy page (GDPR Art. 14); contacts are deleted 24 months after the last activity, and anyone can ask to be erased. Recipients in Germany and Austria, where cold B2B email generally needs prior consent, are excluded automatically. Bounces are handled automatically — if a campaign’s bounce rate climbs too high, it is halted automatically to protect your domain. Warm-up throttling ramps sending volume gradually. Your side: contact business addresses only, check the rules of each country you target, and keep your dashboard postal address accurate.

What email providers are supported?

ClientFACTORY sends through your own mailbox — Gmail or Microsoft 365 with sign-in, or Zoho Mail and any other provider with SMTP access and a password. Sending from your own domain means the deliverability reputation you build is yours. For best results, set up SPF, DKIM, and DMARC for your sending domain before your first campaign.

Is there a sending limit?

Yes, daily send limits grow with your plan, and Enterprise has no daily limit from the plan. On top of that, automatic warm-up starts new senders at a low daily volume that depends on your plan and raises it every week. The BOTS4.me mailbox is shared, so it also has its own daily limits. These limits protect your sender reputation and ensure high deliverability.

Can we run this without AI? We are not allowed to use it.

No. ClientFACTORY writes and personalizes outreach copy, which requires an AI model — there is no rule-based equivalent. If AI is not permitted in your organization, our other bots run entirely on rules: five of them contain no AI at all.
