BOTS4.me is a brand and service operated by TreeLab OÜ, a company registered in Estonia. In these Terms, the words “BOTS4.me”, “we”, “us” and “our” refer to TreeLab OÜ.

1. Acceptance of Terms
By accessing and using BOTS4.me services, including our AI automation platform and related digital products available at https://BOTS4.me, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not use our services.
These terms apply to all users, including businesses, organizations, and individuals who access our automation solutions. By using our services, you acknowledge that you have read, understood, and agree to be bound by these terms.
2. Service Description
BOTS4.me provides AI-powered automation solutions designed to streamline business operations. Our services include:
- AutoSPAM: AI-powered spam filter that learns from a single action — permanently. Works across devices, email providers, and clients in 31 languages. Available for individuals, families, and businesses
- Mail2ERP: Automatically extracts data from customer emails — PDF, Excel, scanned images, any language — and imports directly into your ERP. Supports 21+ ERP/CRM systems. Processes thousands of emails monthly with zero manual entry
- AutoERP: Automates the complete order fulfillment cycle — confirms orders, creates deliveries when stock is ready, generates invoices. Supports 14+ ERPs with toggleable features including collection invoicing, partial shipping, and credit checking
- Pay2ERP: Captures payment notifications from bank emails and APIs (Revolut, Wise), matches them to open invoices using 50+ extraction patterns in 15+ languages, and records payments in your ERP
- AutoCASH: Automatically sends escalating payment reminders — 4 levels from gentle reminder to final notice. Connects to your ERP, finds overdue invoices, and follows up on your schedule. Supports 14+ ERPs
- Mail2CLOUD: Backs up your entire mailbox to 12+ cloud destinations — Dropbox, Google Drive, OneDrive, AWS S3, and more. Incremental backups with AES-256 encryption and bidirectional sync
- Supplier2ERP: Reads supplier emails and attachments (PDF, Word, Excel, images via OCR), extracts product codes, quantities, prices, and delivery dates, matches to your purchase orders, and updates your ERP
- AutoSTOCK: AI-powered stock optimization that analyzes sales patterns, seasonality, and trends to maintain optimal inventory levels. Reduces waste and prevents stockouts automatically
- AutoPURCHASE: Automatically generates purchase orders based on ideal stock levels, sales forecasts, and supplier lead times. Smart procurement that keeps inventory balanced with zero manual effort
- Custom Automation Solutions: Tailored automation built for specific business needs — from complex integrations to industry-specific workflows
- Support and Maintenance: Ongoing technical assistance, updates, and optimization services
All products are delivered digitally as cloud-based SaaS services on a subscription basis. Implementation and initial setup are provided free of charge.
3. Service Infrastructure and Resource Allocation
3.1 Shared Infrastructure Model
All BOTS4.me products are provided as “POOL” variants by default. This means your services operate within a shared infrastructure environment where multiple clients utilize common server resources. This cost-effective model enables us to deliver high-performance automation solutions while maintaining competitive pricing.
3.2 Dedicated Infrastructure for High-Volume Clients
Clients whose monthly sales volume exceeds our VIP threshold are automatically eligible for migration to dedicated infrastructure. Dedicated environments provide:
- Isolated server resources exclusively allocated to your operations
- Consistent processing speeds without resource contention
- Enhanced hardware specifications tailored to your workload requirements
- Priority resource allocation during peak usage periods
- Customized performance optimization based on your specific needs
- Greater control over infrastructure configuration and scalability
3.3 Upgrading to Dedicated Infrastructure
If you require dedicated server resources, enhanced performance guarantees, or isolated infrastructure before reaching the automatic VIP threshold, please contact our support team at [email protected]. We will evaluate your specific requirements and provide a customized solution with transparent pricing for dedicated resource allocation.
Migration to dedicated infrastructure is handled seamlessly by our technical team with minimal disruption to your operations. We ensure a smooth transition while maintaining full data integrity and service continuity throughout the upgrade process.
4. Technical Support Services
4.1 Email Support Response Times
We provide email support to all clients with the following response time standards:
- Standard Response Time: Email inquiries are addressed within up to 3 business days
- Typical Response Time: We make every effort to respond to most requests within 1 business day
- Business Days: Monday through Friday, excluding public holidays
Response times may vary based on the complexity of your inquiry, current support volume, and the technical investigation required. We prioritize critical issues affecting your business operations.
4.2 Tiered Support Based on Sales Volume
Our support services are structured to provide enhanced assistance as your business grows with BOTS4.me:
- Standard Tier (Under €100/month): Email support with standard response times as outlined above
- Premium Tier (€100-€2,999/month): Complimentary email support included with your subscription, featuring priority queue placement for faster resolution
- Enterprise Tier (€3,000+/month): Comprehensive support including both email and phone support channels, dedicated account assistance, and expedited response times
4.3 Support Commitment
Regardless of your service tier, we are committed to providing the highest quality technical assistance. Our support team strives to respond to every request as quickly as possible, often exceeding the stated response time standards. We continuously monitor support performance to ensure your automation solutions operate smoothly and efficiently.
4.4 Emergency Support
For clients experiencing critical service disruptions that significantly impact business operations, we recommend clearly marking your support request as “URGENT” or “CRITICAL” in the subject line. These requests receive elevated priority in our support queue across all service tiers.
5. User Responsibilities
5.1 Account Security
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. Notify us immediately of any unauthorized use of your account. We shall not be liable for any loss or damage arising from your failure to comply with this security obligation.
5.2 Lawful Use
You agree to use our services only for lawful purposes and in accordance with these terms. You will not:
- Use our services for any illegal activities or to violate any applicable laws
- Attempt to reverse engineer, modify, or tamper with our software
- Share your account access with unauthorized parties
- Use our services to process malicious or harmful content
- Interfere with the proper functioning of our systems
- Exceed the usage limits specified in your service agreement
- Use our automation tools to send spam or unsolicited communications
- Process data that infringes on third-party rights
5.3 Data Accuracy and Compliance
You are responsible for ensuring the accuracy and legality of any data you provide to our automation systems. You must ensure that your use of our services complies with all applicable data protection laws and regulations. We are not liable for decisions made based on inaccurate input data or for any consequences resulting from automated processing of incorrect information.
5.4 System Requirements
You are responsible for ensuring your systems meet the minimum requirements for our services to function properly. This includes maintaining compatible software versions, adequate network connectivity, and necessary access permissions for integrations.
6. Intellectual Property Rights
All intellectual property rights in our software, algorithms, AI models, and related materials remain with BOTS4.me. Your license to use our services does not transfer any ownership rights to you.
You retain ownership of your business data, and we do not claim any rights to your content beyond what is necessary to provide our automation services. Any improvements or modifications to our services based on your feedback remain our property.
You grant us a limited, non-exclusive license to use your data solely for the purpose of providing and improving our services. This license terminates when you stop using our services.
7. Privacy and Data Protection
We are committed to protecting your privacy and handling your data with industry standard security and GDPR compliance. Our automation solutions process your business data solely to provide the requested services.
We implement enterprise-level encryption and security measures to protect your information. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
We do not sell or share your data with third parties except as necessary to provide our services or as required by law. You acknowledge that our services may involve the storage of data in various geographic locations.
Payment data: Payment transactions are processed by third-party providers including Stripe, Revolut, PayPal, and Wise. Your billing name, email address, and billing address are shared with these providers as necessary to process payments. BOTS4.me does not store full credit card numbers or bank account details; payment credentials are tokenised and held securely by the respective payment processor in accordance with PCI-DSS standards.
7.1 Communications
Transactional Communications: By creating a BOTS4.me account (including free-tier accounts), you will receive transactional communications necessary for service delivery, including account confirmations, security alerts, service status updates, and billing notifications. These communications are essential to the service and cannot be opted out of while your account is active.
Product Communications: As a user of our services, we may send you communications about product updates, new features, usage tips, and upgrade opportunities related to BOTS4.me services you use or have expressed interest in. This is based on our legitimate interest in informing existing customers about similar products and services, in accordance with Article 13(2) of the ePrivacy Directive (2002/58/EC). Every such communication includes an easy unsubscribe option, and you may opt out at any time without affecting your access to the Service.
Marketing Communications: With your explicit opt-in consent (e.g., via our newsletter subscription form), we may send you broader marketing communications including industry insights, case studies, partner content, and promotional offers. You may withdraw this consent at any time via the unsubscribe link in any email or by contacting us at [email protected].
Official Sending Domains: Legitimate communications from BOTS4.me are sent only from our official domains — @bots4.me and @tirelessbots.com. Please treat email purporting to be from BOTS4.me sent from any other domain as potentially fraudulent.
7.2 Data Processing Boundaries
When BOTS4.me processes data on your behalf (including emails, invoices, and other business documents submitted to our automation services), we act as a data processor under GDPR. Data submitted for processing is used exclusively to deliver the requested automation services and is never used for marketing, lead generation, or any purpose unrelated to the service you requested. This applies to all service tiers, including free-tier accounts.
Third-party personal data contained within your processed documents (such as contact information of your customers, suppliers, or partners) remains under your control as the data controller. BOTS4.me will not contact, profile, or market to any third parties whose data appears in your processed documents.

8. Service Availability and Performance
While we strive to provide reliable services with high uptime, we cannot guarantee uninterrupted access. Our systems may experience maintenance periods or temporary disruptions, for which we will provide advance notice when possible.
We aim to provide automation solutions that deliver the performance metrics advertised (such as processing 5,000+ items monthly with 99.9% accuracy), but actual performance may vary based on your specific use case, data complexity, and integration requirements.
We reserve the right to modify, suspend, or discontinue any aspect of our services at any time, with reasonable notice to affected users.
9. Payment and Billing
9.1 Payment Terms
Payment for our digital products and services is due according to the terms specified in your service agreement. All fees are stated in the currency specified at the time of purchase and are non-refundable unless otherwise stated in writing.
14-day refund policy: Clients may cancel their subscription and request a full refund of the product price within 14 days of purchase. After this 14-day period, no refunds are issued for the current paid subscription period. Payment processing surcharges are non-refundable regardless of whether a product refund is issued, as these fees have already been paid to the payment provider. Refunds are issued to the original payment method within 5–10 business days.
9.2 Subscription Services
For subscription-based services, billing occurs automatically according to your chosen billing cycle (monthly, quarterly, semi-annually, or annually). Subscriptions renew automatically at the end of each billing period using the payment method on file, unless cancelled before the renewal date. You may cancel your subscription at any time through your account settings, but cancellation will take effect at the end of your current billing period. No refunds will be provided for partial periods.
If a recurring payment fails, we will attempt to process the payment up to 3 times over 7 days. If payment cannot be collected, your subscription will be suspended and access to associated services will be restricted until payment is resolved.
9.3 Price Changes
We reserve the right to modify our pricing for new customers at any time. For existing customers, we will provide 30 days’ advance notice of any price changes to subscription services.
9.4 Late Payment
If payment is not received by the due date, we may suspend or terminate your access to our services until payment is made in full. Late payments may incur additional fees.
9.5 Credits and Usage
Usage credits are the mechanism by which usage is metered within a subscription; they are not sold as a standalone product and require an active subscription for the relevant product. Each subscription tier includes a monthly usage allowance, which resets at the start of every billing period and does not carry over. Additional credits purchased on top of a subscription do not expire and carry over between billing periods. Credits are not transferable and are not refundable. For transparency, BOTS4.me may make a per-period usage statement available via email or dashboard download.
9.6 Accepted Payment Methods
We accept payments through the following methods: credit and debit cards via Stripe (including Visa, Mastercard, American Express, Apple Pay, and Google Pay), Revolut Pay, PayPal, bank transfer (SEPA/wire), and Wise transfer. Availability of specific payment methods may vary by region.
9.7 Payment Processing Surcharges
A payment processing surcharge may be added to your order to cover third-party payment provider fees. The applicable surcharge rate depends on your chosen payment method, your geographic location (EU or international), and your account type (personal or company). The exact surcharge amount is displayed at checkout before you confirm your order.
Payment processing surcharges are pass-through costs paid directly to the payment provider and are non-refundable, even if the underlying product purchase is refunded. Company account status is determined by the presence of a validated VAT number, a registered company name, or other business indicators on your account.
VAT may apply to payment processing surcharges for customers subject to VAT under applicable tax rules.
9.8 Disputes and Chargebacks
If you believe a charge is incorrect, please contact our support team at [email protected] before initiating a dispute with your bank or payment provider. We are committed to resolving billing issues promptly.
Filing a chargeback or payment dispute may result in immediate suspension of your account and all associated services until the dispute is resolved. Chargeback fees imposed by payment providers will be passed on to the disputing party. Fraudulent or abusive chargebacks may result in permanent account termination and pursuit of recovery through applicable legal channels.
9.9 Referral Program
BOTS4.me may offer a referral program allowing existing users (including free-tier users) to invite colleagues and business contacts to the platform. Participation in the referral program is voluntary.
Referral invitations must be sent by you to contacts you have an existing business relationship with. You must not submit third-party email addresses to BOTS4.me for the purpose of unsolicited outreach. Referred individuals will receive a single invitation and must opt in themselves by creating an account and agreeing to these Terms.
Referral rewards (such as extended free access, service credits, or other benefits) are specified on our referral program page and may be modified or discontinued at any time with reasonable notice.
9.10 Usage
- All paid plans include a monthly subscription usage allowance.
- Unused subscription allowance does not carry over to the next billing period (use-it-or-lose-it).
- Unused extra usage packs (purchased on top of a subscription) roll over indefinitely and remain in your wallet until consumed. An active subscription is required to consume extras; extras are spent only after the current period’s subscription allowance is exhausted.
- Cost guideline: simple actions consume the smallest unit of usage, document parsing consumes more, AI-powered actions consume the most. A per-app minimum charge may apply per fully processed item.
- Family ≈ 5× Personal usage allowance, Business ≈ 10×, Enterprise ≈ 25×. Freemium plans have daily/weekly limits instead of a monthly allowance.
- Extra usage packs may be purchased only while an active subscription is in effect for that product.
- When both the subscription allowance and any extras are depleted mid-period on a paid plan, the application enters a limited mode (with daily caps, premium features paused) until extra usage is purchased or the next billing period begins. Previously processed work is not affected or reversed.
- Premium customers (designated business accounts) are not subject to usage limits but must still maintain an active subscription.
9.11 Geographic and Customer-Category Pricing
Published prices are reference prices and may be adjusted based on the customer’s billing country and account category (private individual, company without validated VAT, or VAT-validated company). These adjustments reflect, among other factors, regional purchasing power, market conditions, applicable taxes, exchange-rate movements, payment-method costs, regulatory and compliance overhead, and the cost of localized support and infrastructure.
The applicable price is determined automatically from the billing country and account status declared at checkout, and the final amount payable is always displayed before you confirm any order. The internal coefficients, formulas, and methodology used to compute regional and category pricing are confidential business information and may be modified at any time without prior notice. We reserve the right to offer custom pricing, promotional pricing, or individual arrangements to specific customers, customer segments, partners, or regions; such arrangements do not establish any right, expectation, or obligation toward other customers.
Where local law requires it, taxes (including but not limited to VAT) are calculated and displayed in addition to the adjusted base price. Currency is displayed in EUR by default; conversion to other currencies may apply at checkout depending on the chosen payment method.
9.12 Free First Month — Onboarding and Stabilization Period
Where a product is offered with a free first month, that month serves as a production-onboarding and stabilization period. Our services integrate deeply with your ERP, email, cloud, and other business systems, and the specific combination of systems, data, and configuration in your environment is exercised in full for the first time during this period. Accordingly, during the free first month:
- You receive the full functionality of the subscribed tier at no charge.
- Occasional issues specific to your environment may surface; we reserve the right to identify and resolve such production issues during this period, including temporary interruptions or reprocessing where required, at no cost or obligation to you.
- Service level objectives and any support response commitments apply from the start of the first paid billing period; during the free first month, support is provided on a best-effort basis.
- You may cancel at any time during the free first month without any charge.
This period exists so that any environment-specific issues can be found and fixed before you pay anything. It does not limit your statutory rights, and the limitations and disclaimers in Sections 10 and 11 continue to apply.
10. Comprehensive Limitation of Liability
To the maximum extent permitted by law, BOTS4.me, its affiliates, officers, employees, agents, partners, and licensors shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages, including without limitation:
- Loss of profits, data, use, goodwill, or other intangible losses
- Business interruption or loss of business opportunities
- Data loss, corruption, or unauthorized access
- Third-party claims of any nature
- Errors in automated processing or decision-making
- System downtime or service interruptions
- Integration failures or compatibility issues
- Any damages resulting from reliance on automated outputs
- Loss arising from bugs, viruses, or other harmful components
- Failure to meet service level objectives
Under no circumstances shall our total liability exceed the total amount paid by you to BOTS4.me for the affected product or service in the six (6) months immediately preceding the claim. This limitation applies regardless of the legal theory upon which the claim is based.
We do not warrant that our services will be error-free, secure, or meet all of your specific business requirements. Any warranties not expressly provided herein are disclaimed to the fullest extent permitted by law.
11. Disclaimers and Assumptions of Risk
11.1 No Professional Advice
Our automation services are not a substitute for professional advice. You should not rely solely on automated outputs for critical business decisions, legal compliance, financial planning, or other areas requiring professional expertise.
11.2 Third-Party Integrations
We are not responsible for the functionality, security, or availability of third-party services that integrate with our platform. Any issues arising from third-party services are between you and the third-party provider.
11.3 AI Limitations
You acknowledge that AI systems have inherent limitations and may produce unexpected results. While we continuously improve our algorithms, perfect accuracy cannot be guaranteed. You assume all risks associated with AI-generated outputs.
11.4 Data Processing Risks
Automated data processing carries inherent risks. You acknowledge and accept these risks, including the possibility of data misinterpretation, processing errors, or system malfunctions.
12. Indemnification
You agree to indemnify, defend, and hold harmless BOTS4.me and its affiliates, officers, agents, and employees from any claims, damages, losses, liabilities, and expenses (including reasonable attorney fees) arising from:
- Your use or misuse of our services
- Your violation of these terms or any applicable laws
- Your infringement of any third-party rights
- Any content or data you provide to our systems
- Your negligent or wrongful conduct
- Any breach of your representations and warranties
- Claims by your employees, contractors, or customers
This indemnification obligation will survive the termination of these terms and your use of our services.
13. Service Termination
Either party may terminate the service agreement with appropriate notice as specified in your service contract. We may immediately suspend or terminate your access if you violate these terms or engage in any conduct that we determine, in our sole discretion, to be inappropriate or detrimental to our services.
Upon termination:
- Your access to our services will be discontinued immediately
- You must cease using our software and destroy any copies in your possession
- We will provide you with a reasonable opportunity (not exceeding 30 days) to export your data
- All outstanding fees become immediately due and payable
- Certain provisions of these terms will survive termination, including intellectual property rights, confidentiality, disclaimers, and limitation of liability
14. Updates and Modifications
We may update these Terms and Conditions periodically to reflect changes in our services or legal requirements. Significant changes will be communicated via email or through prominent notices on our platform at least 30 days before they take effect.
Continued use of our services after changes indicates acceptance of the updated terms. If you do not agree to the changes, you may terminate your account.
We regularly update our software to improve functionality, security, and performance. Such updates are part of our ongoing service commitment and may be applied automatically. You agree to install updates promptly when required.
15. Governing Law and Disputes
These terms are governed by the laws of Estonia. BOTS4.me is operated by TreeLab OÜ, a company registered in Estonia. Any disputes will be resolved through binding arbitration conducted in English, or in the courts of Tallinn, Estonia.
Before pursuing formal dispute resolution, parties agree to attempt resolution through good faith negotiations. You waive any right to participate in class action lawsuits or class-wide arbitration.
All claims must be brought within one (1) year after the cause of action arises, or such claim is forever barred.
16. Force Majeure
Neither party shall be liable for any failure or delay in performance due to circumstances beyond their reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, government actions, labor disputes, or network failures.
The affected party must promptly notify the other party and use reasonable efforts to mitigate the impact of such events.
17. Additional Protective Provisions
17.1 Feedback and Suggestions
Any feedback or suggestions you provide become our property, and we may use them without compensation or attribution to you.
17.2 Export Compliance
You agree to comply with all applicable export and import laws and regulations. You represent that you are not located in a country subject to embargo or designated as a “terrorist supporting” country.
17.3 No Agency Relationship
Nothing in these terms creates any agency, partnership, joint venture, or employment relationship between the parties.
18. Confidentiality and Non-Disclosure
18.1 Mutual Confidentiality
We understand the sensitive nature of business automation and are committed to maintaining the highest standards of confidentiality. All client data, business processes, and proprietary information shared with BOTS4.me are treated as strictly confidential.
18.2 Non-Disclosure Agreements
We offer comprehensive Non-Disclosure Agreements (NDAs) to all clients who wish to formalize confidentiality protections. Our standard NDA ensures:
- Complete confidentiality of your business processes, data, and automation strategies
- Protection of your trade secrets and proprietary information
- Restricted access to your information only to team members directly involved in your project
- Prohibition on using your data for any purpose other than providing our automation services
- Long-term confidentiality obligations that survive contract termination

18.3 Focus on Your Automation
When you work with BOTS4.me, you can be assured that we are exclusively focused on your automation needs. We do not:
- Share your automation strategies with competitors
- Use insights from your business to benefit other clients
- Discuss your implementation details in case studies without explicit permission
- Access your data for any purpose beyond service delivery
18.4 Data Isolation
Each client’s data and automation workflows are completely isolated. Your business logic, processes, and data are never mixed with or accessible to other clients. We maintain strict technical and organizational measures to ensure complete separation of client environments.
19. Severability
If any provision of these terms is found to be unenforceable or invalid, the remaining provisions will continue in full force and effect. The unenforceable provision will be modified to the minimum extent necessary to make it enforceable while preserving the parties’ original intent.
20. Partner Commission Program
20.1 Program Overview
The BOTS4.me Partner Commission Program (the “Growth Partner Program”) allows qualified individuals to earn recurring commissions by providing dedicated support to our clients. Partners who join this program agree to maintain high standards of service quality, client satisfaction, and responsiveness. The program uses a progressive tier system that rewards sustained quality with access to higher-value client segments.
Scope of Partner Responsibility: Growth Partners take complete ownership of the client relationship. This includes client acquisition (referring clients to BOTS4.me using the partner code), assisting clients through self-onboarding (clients onboard themselves via the in-app helper; the partner helps when they get stuck), and providing all ongoing support — day-to-day questions, app configuration, and web UI / settings work. The partner is the single point of contact for the client. BOTS4.me’s role is limited to operating the platform and handling deep-technical escalations (server-side, code-level issues); BOTS4.me does not provide first-line client support for matters that fall within partner scope.
BOTS4.me-Sourced Client Assignments: In addition to clients referred by partners, BOTS4.me may from time to time assign clients it has sourced itself to available partners. Such assignments are at BOTS4.me’s discretion and are based on partner availability, tier, capacity, and fit. Once assigned, a BOTS4.me-sourced client is treated identically to a partner-sourced client for all purposes under this Section 20: the partner earns full commission on that client’s purchases at the same rates, owes the same support obligations (including monthly contact under Section 20.5.1), and is subject to the same reassignment rules (Section 20.5.3). Partners may not refuse to support, deprioritise, or provide reduced service to a BOTS4.me-sourced client on the basis that they did not source the client themselves; doing so constitutes a breach of these terms and grounds for reassignment and/or termination.
20.2 Commission Structure
Partners earn graduated commissions ranging from 0% to 20%, varying by product, subscription tier (Personal, Family, Business, Enterprise), and billing period (Monthly, Quarterly, Semi-Annual, Annual). Higher subscription tiers and longer billing periods generally earn higher commission rates. Current rates are displayed on the earn-with-us calculator page.
Excluded products / tiers: Some product–tier combinations are excluded from the program because the per-month value is too low to justify partner work. As of the current schedule, this includes AutoSPAM Personal and Mail2CLOUD Personal on every billing period — these earn 0% commission. Family, Business, and Enterprise tiers of those products earn standard rates. The complete current matrix is shown live on the earn-with-us calculator.
Commission rates are applied per order based on the product, subscription tier, and billing period purchased. Free purchases (orders with a total of zero) do not generate any commission.
Commission base / Net Revenue: Commission is calculated on net revenue, defined as the order total minus (a) VAT, (b) any customer-side payment-processing fee line items displayed at checkout, (c) gateway-deducted processor fees taken from the merchant’s payout (e.g., Stripe / PayPal / Revolut platform cuts, when not already passed through as customer line items), and (d) refunds (handled via the clawback provisions in Section 20.11.2). The system avoids double-counting: if a checkout surcharge plugin already passes the gateway fee through as a line item, no additional gateway-meta deduction is applied.
Rate changes: BOTS4.me reserves the right to adjust commission rates at any time. Rate changes take effect on the next purchase or renewal of each client’s subscription — they do not retroactively affect already-paid commissions. Partners will be notified of rate changes via the partner dashboard.
20.2.1 Program Capacity (Per-App Slots)
The number of active Growth Partners is limited per application. Each partner advertises which application(s) they support — currently one of: General, AutoSPAM, or Odoo — and the available-slot count is published per app on the earn-with-us page. BOTS4.me may add or adjust app categories and slot caps at its discretion. BOTS4.me reserves the right to refuse or waitlist new partner applications at its sole discretion, based on per-app capacity, market needs, and applicant qualifications.
20.2.2 Dedicated Partner Eligibility (Client-Side)
Connecting a dedicated Growth Partner to a client account requires the client to hold at least one active Family, Business, or Enterprise subscription on any BOTS4.me product. Clients on Personal-only or freemium subscriptions are served via general support channels (and are encouraged to upgrade for direct partner contact). Free / freemium users are supported on a best-effort basis as capacity allows; paying clients receive priority response.
20.3 Partner Tier System
Partners progress through three tiers based on demonstrated performance. Each tier unlocks access to additional client subscription levels:
- Starter (Default): Granted upon acceptance into the program. Partners may accept clients on Personal and Family subscription plans.
- Professional: Requires a minimum of 3 paying clients, an average client rating of 7.5 or higher, at least 2 months of active partnership, and an average support response time under 24 hours. Unlocks access to Business-tier clients.
- Elite: Requires a minimum of 10 paying clients, an average client rating of 8.5 or higher, at least 6 months of active partnership, and an average support response time under 12 hours. Unlocks access to Enterprise-tier clients.
Tier evaluations are conducted automatically on a monthly basis. Partners who no longer meet the requirements for their current tier may be downgraded. Existing client assignments are not affected by a tier downgrade, but new assignments will be restricted to the partner’s current tier level. BOTS4.me administrators may manually override tier assignments at their discretion.
20.4 First Payout Qualification
To receive their first commission payout, new partners must have a minimum of 3 paying clients generating orders in a single calendar month. This threshold applies only to the first payout; once a partner has qualified, all subsequent months are paid regardless of client count, provided other program requirements are met. BOTS4.me administrators may waive this requirement at their discretion.
20.5 Performance Requirements
To qualify for commission payments, partners must:
- Acquire, refer, and provide complete ongoing support to assigned clients
- Assist clients through self-onboarding (clients self-onboard via the in-app helper; the partner provides help when needed)
- Act as the primary point of contact — all client communication flows through the partner
- Handle web UI and application settings configuration on the client’s behalf when required
- Maintain an average client satisfaction rating of 7.0 out of 10 or higher
- Respond to client support tickets within a reasonable timeframe (response times are tracked and factor into tier qualification)
- Provide accurate information and quality support services
- Comply with all BOTS4.me policies and standards
- Not engage in any fraudulent, deceptive, or unethical practices, including self-assignment (assigning themselves as their own support partner)
20.5.1 Monthly Contact Requirement
Partners must initiate proactive contact with each active client at least once per calendar month. The intent is a genuine business-as-usual check-in, not a formality. Two exceptions apply:
- Opt-out: The client has explicitly asked not to be contacted proactively.
- Low turnover: The client’s net turnover with BOTS4.me is under €100 per month.
In both exception cases, the partner remains obligated to respond to incoming client requests in order to keep earning commissions on that client’s purchases. Failure to provide reactive support, even for exception-category clients, may result in commission freeze and/or reassignment under Section 20.5.3.
20.5.2 Scope of Support and Escalation
The partner is responsible for all client-facing support, including but not limited to onboarding assistance, account configuration, app settings, day-to-day operational questions, and any work performed through the BOTS4.me web UI on the client’s behalf. The following narrow categories may be escalated:
- Partner → BOTS4.me: Deep-technical issues only — server-side problems, suspected platform bugs, or matters requiring code-level changes. Routine support questions are not eligible for escalation and remain the partner’s responsibility.
- Client → BOTS4.me: Clients may independently escalate complaints or disputes regarding partner conduct, support quality, or commercial matters. This is the only client-facing channel BOTS4.me operates beyond what the partner provides.
20.5.3 Reassignment for Non-Performance
BOTS4.me reserves the right to reassign a client to a different partner at any time if the assigned partner fails to meet support obligations. Triggers include, but are not limited to: missed monthly contact without a valid exception, repeated unanswered support tickets, sustained low ratings, unresolved client complaints, or any other failure to provide the support described in this Section 20.5. Reassignment is at BOTS4.me’s sole discretion. Future commissions transfer to the new partner as of the reassignment date; previously paid commissions are not retroactively affected, subject to the clawback provisions in Section 20.11.2. This reassignment right is independent of, and additional to, the client’s own right to switch partners under Section 20.9.
20.5.4 Partner Product Familiarity
Partners are expected to use the BOTS4.me applications themselves so that they are competent to support clients on configuration, features, and day-to-day operation. To facilitate this, dashboard and app access that would otherwise be behind the paywall may be granted to partners on demand for product-familiarity purposes. Such access is granted solely for the partner’s own learning and client-support work; commercial use of the unlocked access for purposes other than supporting BOTS4.me clients is not permitted.
20.5.5 Confidentiality of Client Data
In the course of providing support, partners may have access to client account data, configuration, and other information. This access is granted strictly for the purpose of supporting the assigned client. Partners may not use, copy, export, retain, or disclose client data for any other purpose. Partners may not solicit assigned clients (or clients they have had access to) for non-BOTS4.me services, competing platforms, or off-platform support arrangements during their participation in the program.
20.5.6 Non-Solicitation on Termination
For a period of twelve (12) months following the termination of partner participation in the Growth Partner Program (whether voluntary, automatic, or for cause), the former partner may not solicit, induce, or attempt to migrate any client they were assigned to during the partnership to a competing service or to any off-platform support arrangement. This restriction applies regardless of the reason for termination and survives the end of the partnership.
20.6 Client Satisfaction and Rating System
Clients may rate their support partner’s quality on a scale of 1 to 10, where:
- 9-10: Excellent support
- 7-8: Good support (minimum qualifying threshold)
- 5-6: Below standard (triggers quality monitoring)
- 1-4: Critical (triggers accelerated review)
Rating Privacy: Individual client ratings are anonymous. Partners can only view their aggregate rating statistics (average rating, total number of ratings, percentage of ratings above 7). Partners cannot see which specific client gave which rating. This protects client privacy and encourages honest feedback. Full per-client rating data is accessible only to BOTS4.me administrators for quality assurance and dispute resolution.
Smart Rating Prompts: Rather than mandatory monthly rating requirements, clients are prompted to rate their partner contextually: after a support ticket is resolved, after a purchase, or when a significant period has passed since their last rating. These prompts are non-intrusive and designed to capture genuine feedback at natural moments.
Per-Client Commission Freeze: If any client rates their support partner below 7/10, commissions from that specific client will be frozen until the rating improves to 7 or higher, or the issue is resolved through dispute.
20.7 Automatic Quality Enforcement
The program enforces quality standards through automated monthly checks:
- Commission Freeze (Per-Client): Commissions from any client who rates support below 7/10 are automatically frozen until the rating improves.
- Account Freeze: If a partner’s overall average rating falls below 7.0 for 2 consecutive months, the entire partner account is frozen. During a freeze, no commission payments are processed, but existing client assignments remain. The partner is notified and given the opportunity to improve.
- Account Termination: If a partner’s overall average rating falls below 5.0 for 3 consecutive months, the partner account is automatically terminated. All client assignments are removed, and the partner is removed from the program.
Resolution Options: Partners with frozen commissions may:
- Improve Service Quality: Work with clients through the support ticket system to address concerns. Once ratings improve, frozen commissions automatically resume.
- Dispute the Rating: Contact [email protected] with documentation. Decisions on disputes are final.
20.8 Support Ticket System
The program includes a built-in support ticket system that allows clients to communicate directly with their assigned partner. Key aspects:
- Ticket Creation: Clients may create support tickets at any time through their dedicated support page. Each ticket includes a subject, message thread, and status tracking.
- Response Expectations: Partners are expected to respond to open tickets in a timely manner. Average response time is tracked and factors into partner tier qualification.
- Email Notifications: Both parties receive email notifications when tickets are created, replied to, or when tickets have been idle for an extended period without a partner response.
- Ticket Resolution: Either party may mark a ticket as resolved. After resolution, the client is encouraged to rate their experience.
The support ticket system serves as the primary channel for client-partner communication and provides measurable data on partner engagement and responsiveness. BOTS4.me does not field client support questions that fall within partner scope (see Section 20.5.2); the ticket system is between client and assigned partner.
20.9 Client’s Right to Change or Remove Support
Client Control: The client is always in control of their partnership. Clients have the unilateral right to change or terminate their support partner relationship at any time, for any reason, without penalty.
Changing Partners: Clients have the right to change their support partner by entering a new partner code. When a client switches partners:
- All future commissions from that client transfer to the new partner
- The previous partner ceases to receive commissions from that client
- The previous partner cannot dispute or contest the client’s decision
30-Day Cooling-Off Period: After switching partners, a client must wait 30 days before switching to another new partner. This prevents manipulation and ensures stability. The cooling-off period does not apply to the client’s first partner assignment, nor does it prevent a client from removing their partner entirely. BOTS4.me administrators may override this restriction.
Relationship to BOTS4.me-Initiated Reassignment: The client-initiated rights described in this Section 20.9 are independent of BOTS4.me’s right to reassign a client for partner non-performance under Section 20.5.3. The 30-day cooling-off period does not apply to reassignments initiated by BOTS4.me; the new partner assignment takes effect immediately upon reassignment.
Self-Unassignment: Clients may choose to remove their assigned partner at any time without needing to select a replacement. This action is immediate and the client may assign a new partner after the cooling-off period (if applicable).
20.10 Inactivity Notification & Subscription-Cancel Grace
To ensure the program provides genuine value, BOTS4.me monitors client-partner engagement:
- Inactivity Notification (soft check-in): If no interaction (support tickets or rating updates) occurs between a client and partner for 90 days, the client receives an email asking whether they still need their partner. If the client takes no action, nothing happens — the partner stays assigned. The email links to /get-dedicated-support where the client can self-remove or switch partners at any time.
- Subscription-Cancel Grace (7 days): When a client’s last active paid subscription is cancelled or expires, a 7-day grace period begins. If the client does not re-activate any paid subscription within 7 days, the partner-client link is automatically removed. Both parties are notified by email. If the client re-subscribes within the 7-day window (e.g., paid the next day), the link is preserved and no removal occurs.
Inactivity alone (a happy silent client) is no longer treated as grounds for auto-removal. Removal is triggered by (a) explicit client action, (b) BOTS4.me reassignment for partner non-performance under Section 20.5.3, or (c) the subscription-cancel grace above.
20.11 Commission Payment Processing
Commission payments are processed monthly. Commissions earned on orders placed in a given calendar month are paid out by the 15th of the following month. Payments are subject to the following conditions:
- Payout Schedule: Commissions for orders placed in Month X are paid by the 15th of Month X+1. For example, commissions on March orders are paid by April 15th.
- Minimum Payout (€50): Each monthly payout must reach a minimum of €50 (net) per partner per gateway. If a partner’s balance for the month is below €50, no payout is sent and the balance — including any negative carry-over from clawbacks (see 20.11.2) — rolls forward to the next month. This applies to both automatic monthly payouts and any manual payout actions triggered by BOTS4.me. The threshold avoids micro-payment overhead.
- Eligible Orders Only: Only orders with a completed or processing status at the time of payout calculation are eligible for commission. Orders that have been cancelled, refunded, or are otherwise inactive are excluded.
- Frozen Commissions: Commissions from clients with ratings below 7/10, or from partners with frozen accounts, are excluded from payment until resolved.
- Payment Idempotency: The system ensures each partner is paid exactly once per commission period per payment gateway. Duplicate payments are automatically prevented.
- Quality Verification: All commission payments are subject to verification of continued quality support and client satisfaction.
20.11.1 Cancellation and Refund Policy
Clients may cancel their subscription and request a full refund within 14 days of purchase. After this 14-day period, no refunds are issued for the current paid subscription period. Clients may cancel future renewals at any time.
20.11.2 Commission Clawback Provisions
Commission payments are tied to the status of the underlying orders. The following clawback rules apply:
- Cancellation Before Payout: If an order is cancelled or refunded before the commission payout date (15th of the following month), the commission for that order is simply excluded from the payout. No deduction is necessary as no payment was made.
- Cancellation After Payout (90-day clawback window): If an order is refunded within 90 days of the original purchase, the corresponding commission amount is deducted from the partner’s next period payout as a negative adjustment. Refunds outside this window do not generate a clawback.
- Insufficient Balance / Carry-Forward: If the next period’s commission accrual is insufficient to cover the clawback amount, the remaining negative balance is recorded as a carry-forward debt and is deducted from subsequent payouts until fully recovered. Partners may have a negative running balance until new commissions earn it back; no payout is issued while the balance is below the €50 minimum (see 20.11).
- Stops on Customer Cancellation: Once a client cancels their subscription and the 7-day cancel grace expires (see 20.10), no further commission accrues from that client. Clawback applies only to the original order’s refund window, not to the cessation of future renewals — partner inactivity does not stop accrual on existing clients (only client cancellation does), keeping partners motivated to support retention.
- Notification: Partners are notified by email of all clawback adjustments applied to their commission account, with order reference and amount.
20.12 Public Performance Visibility
Partner aggregate performance metrics, including average ratings and number of clients served, may be displayed publicly to help clients make informed decisions when selecting support partners. Individual client ratings are never disclosed publicly or to the partner. By participating in the Growth Partner Program, you consent to the public display of your aggregate performance data.
20.13 Commission Disputes and Adjustments
BOTS4.me reserves the right to:
- Adjust commission amounts based on client feedback, refunds, and performance reviews
- Withhold payments pending investigation of performance or compliance issues
- Apply manual adjustments to commission accounts with documented explanations
- Process clawbacks for refunded or cancelled orders in accordance with Section 20.11.2
- Terminate partnership with 3 months’ advance written notice, except in cases of fraud (where immediate termination applies), and suspend unpaid commissions pending review
All commission disputes must be submitted in writing within 30 days of the relevant commission period. Decisions regarding commission adjustments are made at BOTS4.me’s sole discretion.
20.14 Program Termination
Either party (BOTS4.me or the Growth Partner) may terminate participation in the Growth Partner Program by providing 3 months’ advance written notice. No reason is required for voluntary termination by either party. During the notice period, the partner continues to earn commissions on active client subscriptions as normal.
Automatic termination occurs if a partner’s average rating falls below 5.0 for 3 consecutive months. In cases of fraud, material breach, or violation of these terms, BOTS4.me may terminate the partnership immediately without the 3-month notice period.
Upon termination:
- Unpaid commissions for completed work will be processed according to the normal payment schedule, subject to quality verification
- No future commissions will accrue after the termination date
- Previously paid commissions remain subject to clawback provisions as described in Section 20.11.2
- Client assignments will be removed, and clients will be notified
- Terminated partners may reapply after 6 months, subject to approval
20.15 VAT and Tax Handling
BOTS4.me OÜ is a VAT-registered company in Estonia (EU). All product prices displayed on the platform are exclusive of VAT. VAT is handled in accordance with Estonian and EU VAT legislation as follows:
20.15.1 VAT on Product Sales to Clients
VAT is charged on product purchases based on the client’s location and VAT status:
- Estonian clients: Estonian VAT (22%) is applied.
- EU clients with a validated VAT number: Reverse charge applies — 0% VAT. The client accounts for VAT in their own country.
- EU clients without a valid VAT number: Estonian VAT (22%) is applied.
- Non-EU clients: No VAT is applied (0%).
20.15.2 VAT on Commission Payouts to Partners
Commissions are calculated on net revenue (product price excluding VAT and payment processing surcharges). VAT on commission payouts is determined by the partner’s location and VAT registration status:
- Estonian partners: Estonian VAT (22%) is added to the commission payout.
- EU partners with a validated VAT number: Reverse charge applies — 0% VAT on the payout. The partner accounts for VAT in their own country.
- EU partners without a valid VAT number: Estonian VAT (22%) is added to the commission payout.
- Non-EU partners: No VAT is applied to the commission payout (0%).
Partners are responsible for providing accurate VAT registration information. VAT numbers are validated through the EU VIES system. Incorrect or expired VAT information may result in VAT being charged on commission payouts.
20.15.3 General Tax Responsibilities
Partners are responsible for all tax obligations related to commission earnings in their country of residence or registration. BOTS4.me does not withhold income taxes from commission payments. Partners operating as independent contractors must handle their own tax reporting and payment.
20.16 No Employment Relationship
Participation in the Growth Partner Program does not create an employment relationship. Partners are independent contractors responsible for their own business expenses, insurance, and professional obligations.
21. Entire Agreement
These Terms and Conditions, together with our Privacy Policy and any specific service agreements, constitute the entire agreement between you and BOTS4.me regarding the use of our services. Any prior agreements or understandings are superseded by these terms.
