The cloud plan keeps getting bigger and more expensive. And in the end you delete old photos just to make room. The phone is full Photos and videos take most of the room. Your whole photo archive no longer fits, so the old memories stay behind. Google storage is full On Google, your mailbox, Google Drive and Google Photos share one quota. Years of big attachments in Gmail eat the same space as your photos. Cloud plans keep growing Every year you need the next bigger plan. Most of that space is full-size photos, videos and documents that could be much smaller. **AutoSPACE frees space in your mailbox and shrinks your files to about half the size.** Photos look the same, documents open the same, and names, dates and places stay. **Nothing is deleted by itself** — you decide what goes. - Your whole photo archive and your important files fit on the phone again, and they open faster. - Ten-year-old memories show up in seconds. - You can often stay on a cheaper phone or a smaller cloud plan. ## What AutoSPACE Does AutoSPACE has two parts. You can use one of them or both. ### Part 1 — The mailbox - It finds your biggest mails — usually years of attachments. - It puts them into one folder, so you can look through them and delete them in one go. - Or it keeps the mails and saves their big attachments to your cloud, with a link in the mail. - Works with Gmail and any IMAP mailbox. ### Part 2 — The files - It shrinks photos, videos, PDFs and Office files to about half the size. - They look the same, open the same and keep their names, dates and places. - The originals are kept for 30 days by default and come back with one click. - Works with Google Drive, OneDrive and your own server or NAS (SFTP). Dropbox comes next. Connect your mailbox and/or storage → DEMO mail: what you would save → LIVE: daily portions, biggest wins first → Review, undo or free the space ## Before You Start A mailbox, a storage, or both For the mailbox part you need Gmail or any IMAP mailbox. For the files part you need Google Drive, OneDrive or an SFTP server / NAS. One of the two is enough to start. DEMO comes first Every new AutoSPACE starts in DEMO. You get a mail that shows what AutoSPACE would free, and nothing changes in your mailbox or your storage. Already connected? Fine. If your mailbox or your storage is already connected for another BOTS4.me app, such as Mail2CLOUD or AutoSPAM, AutoSPACE uses the same connection. Nothing to set up twice. **Tip:** on a full Google account, start with the mailbox part. It usually frees the room that the files part needs for its safety copies on Google Drive. ## How to Connect All connections are made at [BOTS4.me/bots](https://bots4.me/bots/) → **Settings** (gear icon) → **Access Manager**. Most providers use Secure Quick Connect: you sign in with the provider and we never see your password. ### Your mailbox (Gmail or any IMAP mailbox) 1. In the Access Manager, open the **Email accounts** tile and click **Add Source**. 2. **Gmail:** choose the Gmail tile and sign in with Google (Secure Quick Connect). 3. **Any other mailbox:** choose the IMAP tile and type your email address. The servers are filled in for most providers, or click "Detect settings". 4. Done. AutoSPACE finds the big mails on its next run and puts them into the DEMO mail. POP mailboxes can't be used, because mail can only be moved between folders over IMAP. A POP mailbox gets one row in the Logs tab that says so. Most providers offer IMAP for the same mailbox. ### Google Drive — you pick the files AutoSPACE asks Google only for the narrowest permission: it can open **only the files you pick**, never the rest of your Drive. That keeps your Drive private, and it means you choose what gets shrunk. 1. Connect Google Drive in the Access Manager: choose the Google Drive tile and sign in with Google. 2. In the AutoSPACE tab at [BOTS4.me/bots](https://bots4.me/bots/), press Choose files to shrink. Google's own file picker opens. 3. Select as many files as you like at once — hold Ctrl (Cmd on a Mac) or Shift to pick several. Photos and videos from your phone backup are a good start. 4. Or, in **drive.google.com**, select files, right-click and choose **Open with → AutoSPACE**. 5. The picked files are handled on the next runs. **Coming with Google's file picker.** The Choose files to shrink button and **Open with → AutoSPACE** arrive together with Google's file picker, which is not available yet. Until then, use the hands-off AutoSPACE folder on OneDrive or on your own server or NAS. **Files only, not folders.** If you pick a folder, Google gives AutoSPACE none of the files inside it. Open the folder and select the files themselves. **New files need a new pick.** Files you add to Drive later are not seen until you pick them. If you have not picked anything for 30 days, you get one friendly reminder a month. **Room for a safety copy.** Before a file is shrunk, its original is copied into `AutoSPACE/ORIGINALS` on your Drive. If there is no free room for the copy, the file waits and the report says how much room is needed. The mailbox part usually frees it. ### OneDrive — move files into the AutoSPACE folder 1. Connect OneDrive in the Access Manager: choose the OneDrive tile and sign in with Microsoft. 2. AutoSPACE works in its own app folder: **Apps → BOTS4.me → AutoSPACE** in your OneDrive. 3. Move the photos, videos and documents you want smaller into that folder, in any sub-folders you like. 4. That's all. Everything in the folder is handled on every run, hands-off. AutoSPACE never looks outside it. ### SFTP server or NAS — one folder you name 1. In the Access Manager, add your server with protocol **SFTP**: host, port, user name and password or key. 2. In the **Folder to shrink** field, enter the one folder AutoSPACE may work in. The default is `/AutoSPACE`. 3. Put the files you want smaller into that folder. Everything inside it is handled on every run, hands-off. Two kinds of folders are always refused, with one row in the Logs tab: a website folder (for example one with wp-config.php or index.php) and a folder that is or holds a Mail2CLOUD backup. **Dropbox** comes next. Step-by-step help for every provider is in [Guide: Getting Connected](https://bots4.me/guide-getting-connected/?app=autospace). ## The Mailbox Part Years of attachments add up. A few hundred big mails often take more room than everything else together. AutoSPACE finds them and puts them where you can deal with them in one go. ### What it moves - **The biggest mails, biggest first.** Every mail at or above **Big mail from (MB)** — 5 MB by default, anything from 1 to 50 MB — no matter how old it is. - **From these folders:** the INBOX, Sent, Archive / All Mail and your own folders. - **Into one folder:** `_AutoSPACE/BIG_MAIL` (the folder name is shown in your language). - **On Gmail** the move is a label change. An archived mail just gets the label. The labels it had are remembered, so "Back to where it was" puts them back exactly. ### You review and delete — in one go AutoSPACE never deletes a mail. Open BIG_MAIL, look through it, and delete what you no longer need — select all and delete. The space is free once the mails are gone from the Trash as well. Your tiles and the report show what is waiting, for example "4.2 GB is waiting in BIG_MAIL — delete it to free the space", and a monthly reminder goes out while something waits there. - **A mail you move back out** of BIG_MAIL is remembered and never moved again. - **A mail you drop into** BIG_MAIL yourself simply stays there. AutoSPACE learns nothing from it. ### Two buttons on every moved mail Every moved mail gets its own row in the Logs tab at [BOTS4.me/bots](https://bots4.me/bots/), with two one-click buttons: Back to where it was Puts the mail back into the folder it came from — on Gmail with its old labels. It is never moved again. Keep the mail, save its attachments to my cloud Keeps the mail in its place, lighter: the attachments go to your connected storage and the mail gets a link to each one. Needs a connected storage and the Team plan (also open in the Discovery month). ### Never moved - Starred or flagged mail. - Mail of the last 7 days — other apps get new mail first, so a big mail moves at the earliest on day 8. - INBOX mail that AutoSPAM has not checked yet. - Trash, Spam / Junk and Drafts. - The folders of other BOTS4.me apps, such as `_AutoSPAM`, `_AutoEMAIL` or `_Mail2KNOW`, and the LOGS folders and their `_LAST` copies. ### Save big attachments to my cloud Want to keep the mails, just lighter? Switch on **Save big attachments to my cloud**. It is off by default, part of the Team plan and up, and also open in the Discovery month. It needs a connected storage. 1. Attachments of 1 MB and more are saved to your storage, in `AutoSPACE/Mail attachments////`, then read back and checked. 2. A lighter copy of the mail goes back into the same place, with the same date, flags and labels. It carries a short note with one private link per file — your storage's own link that only you can open (on SFTP, the path of the file). 3. Only after that does the full original go into BIG_MAIL, where you can delete it when you are ready. Undo puts the full original back and moves the lighter copy into BIG_MAIL. We never delete that copy either. With Mail2CLOUD on the same mailbox, only mails that are already safe in your Mail2CLOUD backup are handled this way. ## The Files Part Most photos, videos and documents are saved much bigger than they need to be. AutoSPACE saves them again in a smarter way. They look the same and open the same, at about half the size. ### What shrinks, and how Photos JPEG photos are saved again in a smarter way and stay JPEG. PNG, TIFF and BMP pictures become JPEG. HEIC is an option for the smallest files. Videos (Team) Saved again as H.265 (HEVC) at the same resolution. Optionally limited to 1080p for even smaller files. PDFs Scans and pictures inside are brought down to 300 dpi, still sharp for printing. Text stays text, so you can still search and copy it. Office files Big pictures inside Word, Excel and PowerPoint files are saved again. Old doc, xls and ppt files become docx, xlsx and pptx. Exact duplicates (Team) Optional. A file that is an exact copy of another one is moved to `AutoSPACE/DUPLICATES` and kept there like the originals. ### Where the originals go #### Google Drive The original is first copied into `AutoSPACE/ORIGINALS`. Then the file is shrunk right where it is, so it keeps its place, its share link and its comments. After the check, Drive's older version is removed, so nothing is counted twice. This copy needs free room on your Drive. #### OneDrive and SFTP / NAS The original is moved into `/ORIGINALS/` inside your AutoSPACE folder. A move needs no extra space. The smaller file takes its place, with the original dates. With **Keep ORIGINALS** switched off, no original is kept: the smaller file simply replaces it. Only switch it off if you have your own backup. ### Every result is checked Before a smaller file replaces anything, AutoSPACE checks it: - it opens; - it has the same pixels, the same duration or the same pages; - it keeps the EXIF data, the GPS place and the dates; - it is at least 20 % smaller. If one check fails, the original simply stays as it is, and the report tells you why. You are not charged for it. ### Never touched - Anything outside the files you picked (Google Drive) or outside the AutoSPACE folder (OneDrive, SFTP / NAS). - Files shared with other people, and files you do not own. - Google Docs and Google Sheets. - The folders of other BOTS4.me apps, such as Mail2CLOUD backups. - Code and website folders. - RAW photos, GIF, WebP and AVIF pictures, and transparent or animated pictures. - Signed, fillable or password-protected PDFs. - Office files with macros or a password. - Archives (such as ZIP) and installers. - The video clips of Live Photos. - Files under 500 KB or over 4 GB. - The attachments AutoSPACE saved from your mails, in `AutoSPACE/Mail attachments`. ## DEMO First Every new AutoSPACE starts in DEMO. It looks at your mailbox and your files, tries a few samples, and sends you one mail with what it would do. **Nothing changes** — the only thing it creates is the empty AutoSPACE folder. Now → after For each type — photos, videos, PDFs, Office files — the size now and the size after. Up to 10 samples are really converted on our server to measure it. Your biggest files The files that would save the most, and the files that would be skipped, each with the reason. Your 20 biggest mails Date, sender, subject, size and folder. Plus the space freed by moving them, and the space freed while keeping the mails (attachments saved to your cloud). How long it takes The time the whole job takes on your plan, and "your plan could drop from X to Y" — the smaller cloud plan you may need afterwards. **Google users** also get a tip in the DEMO mail: AutoSPACE can't reach Google Photos, so switch Google Photos to Google's own "Storage saver" setting to shrink the photos stored there. **Picked nothing yet?** A Google Drive user who has not picked any files gets one short welcome mail that explains how, instead of an empty report. DEMO is never counted against your plan. When the DEMO mail looks right, switch to LIVE in the Control tab. ## LIVE - **Daily portions, biggest wins first.** Each day AutoSPACE handles one portion — 1 GB on Starter, more on bigger plans — starting with the mails and files that free the most space. By default it works at night, between 22:00 and 06:00, weekends included. - **Long videos** may get one longer night run. A video that would take more than about 2 hours to encode is listed as too long and stays as it is. - **ORIGINALS are kept 30 days by default.** You get a reminder 7 days before. Then they go to your storage's bin, where your storage keeps them for its own time. On SFTP / NAS they stay until you press "Free the space now". - **A report mail** tells you what was freed, what waits in ORIGINALS and BIG_MAIL, and what was skipped and why. ### One-click buttons In the Logs tab and in the report mail: Put the originals back For one file or for a whole run. The originals return to their place, exactly as they were. Free the space now Happy with the result? Don't wait 30 days: the kept originals go to your storage's bin right away. Empty the bin to see the space. Back to where it was For a moved mail: back into its old folder, and never moved again. ## Settings All switches and settings are in the AutoSPACE tab at [BOTS4.me/bots](https://bots4.me/bots/) → Control. The current prices and periods are on the [product page](https://bots4.me/product/autospace/#pricing). | Plan | About this much a month | Daily portion | | --- | --- | --- | | Free | 3 GB — big mails, photos, PDFs and Office pictures | 1 GB | | Starter | 30 GB | 1 GB | | Team | 150 GB | 5 GB | | Business | 450 GB | 10 GB | | Enterprise | 1,200 GB | 25 GB | ### How your plan is counted - **By size:** your plan is counted by every started 10 MB of the original file, of the mail moved, or of the attachments saved. - **Never counted:** skipped files, failed files, files that would not get at least 20 % smaller, undo, or DEMO. - **The daily portion** is shared by both parts — mailbox and files. ### What each plan adds - **Free:** big mails into one folder to review, photos, PDFs and pictures inside Office files, up to 3 GB a month, with the default settings. - **Starter:** everything above, plus old Office files → new, HEIC, your own big-mail size, how long originals are kept, and the saving levels. - **Team:** plus videos, the 1080p limit, removing exact duplicates and saving big attachments to your cloud. Videos, duplicates and attachments are also open in the Discovery month. - **Business and Enterprise:** the same features with fifteen or forty times the monthly size and bigger daily portions — for big archives and teams. ## Next to AutoSPAM and Mail2CLOUD ### AutoSPAM AutoSPAM sorts out unwanted mail: spam, duplicates, lists and other mail you did not ask for, into its `_AutoSPAM` folders. AutoSPACE moves mail **only by size**, into its own folder `_AutoSPACE/BIG_MAIL`. It never touches `_AutoSPAM`, never stars or unstars a mail, and waits until AutoSPAM has checked a new mail. The two folders sit next to each other in your folder list. AutoSPACE always says "AutoSPACE · free up space", has its own violet colour and icon, and its folder is called BIG_MAIL. ### Mail2CLOUD Mail2CLOUD backs up your whole mailbox to your cloud. AutoSPACE never backs up, restores or deletes mail, and it never reads, shrinks or deletes Mail2CLOUD's backup folders. One connection serves both apps. Attachments are only saved from mails that Mail2CLOUD has already backed up, and the lighter copy keeps the mail's identity, so your backup keeps the full original. When Mail2CLOUD runs in Sync mode with Move Detection switched off, a mail that AutoSPACE moves into BIG_MAIL is uploaded once more. That is Mail2CLOUD's normal behaviour for any moved mail. Apps that read your new mail — such as Mail2ERP, Bill2ERP, Mail2KNOW or AutoEMAIL — always get it first: mail of the last 7 days and mail in their own folders is never moved. AutoEMAIL's labels stay on a moved mail. ## Privacy and Safety - **No AI.** AutoSPACE works with plain rules: sizes, file types and checks. No AI reads your mail or looks at your photos. - **One file at a time.** Each file is processed in a private temporary folder on our server, in memory where possible, and wiped right after. - **Your files stay with you.** Results go back into your own mailbox and your own storage. We keep no copy. - **Nothing is deleted by us.** Big mails only move. Originals are kept in ORIGINALS and then go to your storage's bin — you decide when to empty it. - **Narrow permissions.** On Google Drive only the files you pick, on OneDrive only the app folder, on SFTP only the one folder you name. ## Frequently Asked Questions ### Can AutoSPACE shrink my Google Photos or iCloud Photos? No. Neither Google Photos nor iCloud Photos lets an app like ours change your photos there. For Google Photos, use Google's own "Storage saver" setting in Google Photos. AutoSPACE handles your mailbox and the files in Google Drive, OneDrive and your own server. ### Why do I have to pick the files on Google Drive? So that AutoSPACE never needs access to your whole Drive. It only sees the files you pick with "Choose files to shrink" or "Open with → AutoSPACE". Pick files, not folders, and pick new files again later — a monthly reminder helps. For a hands-off folder, use OneDrive or your own server. ### Will my photos look worse? They should look the same. Every result keeps the same pixels, the date and the place, and it must be at least 20 % smaller, or the original stays. If you want to be extra careful, set Photo saving to Light. ### Do links to my files keep working? Yes for share links: on Google Drive the file is shrunk in place and keeps its link. One exception: when an old xls file becomes xlsx (or doc becomes docx), links to it from inside other documents, such as a formula in another spreadsheet, can break. Switch off "Old Office files → new" if that matters to you. ### Why are my photos still JPEG and not HEIC? Because JPEG opens on every device. HEIC saves more, but some computers and programs can't open it. If you want it, set Photo format to Smallest HEIC (Starter plan and up). ### AutoSPACE did the work, but my storage is still full. Why? Because we never delete anything ourselves. The space shows once you empty BIG_MAIL in your mailbox, or once the originals leave ORIGINALS (after 30 days by default, or with "Free the space now") — and then empty the Trash or the bin of your mailbox and storage. The tiles and the report show how much is waiting. ### Why was a big mail from this week not moved? Mail of the last 7 days is never moved, so that other apps and you see it first. A big mail moves at the earliest on day 8. Starred or flagged mail is never moved at all. ### A video is listed as "too long". What does that mean? Videos are encoded at night, and a long video gets one extra-long night run. A video that would take more than about 2 hours to encode is listed as too long and stays as it is. Limit videos to 1080p can make it fit. ### Can I get an original back after 30 days? After 30 days the originals go to your storage's bin, and you can restore them from there as long as your storage keeps them. On SFTP / NAS they stay until you press "Free the space now". To keep originals longer, set Keep originals for (days) up to 365, or 0 for forever. ### My mailbox uses POP. Can I use the mailbox part? No, the mailbox part needs IMAP or Gmail, because it moves mail between folders. Most providers offer IMAP for the same mailbox — connect it that way instead. ### What about Dropbox and other storages? Dropbox comes next. Google Drive, OneDrive and SFTP / NAS come first; the other storages are coming soon. ### Does DEMO or an undo count against my plan? No. DEMO, undo, skipped and failed files, and files that would not get at least 20 % smaller are never counted. ### When can I start? AutoSPACE is coming soon.
